Orthodontic Patient Coordinator

Job Overview

We are seeking a dynamic and compassionate Orthodontic Patient Coordinator with clinical experience to support an administrative/clinical hybrid role.

In this role, you will serve as the liaison of our satellite practices, ensuring each patient’s experience is smooth, positive, and efficient from their initial contact through treatment completion.

Your energetic approach and excellent organizational skills will help coordinate patient appointments, manage insurance verifications, and facilitate seamless communication between patients and our clinical team, assist with taking patient records and comfort visits. Orthodontic clinical experience is a must. The ideal candidate must be available to report to the office as needed for patient emergencies and will work closely with the orthodontist to address and resolve patient discomfort, concerns, and questions in a timely and professional manner.

  • Greet patients warmly upon arrival and manage front desk responsibilities with professionalism and enthusiasm on scheduled clinic days (some weekend days included)
  • Schedule appointments efficiently using dental office management software (cloud9 Ortho)
  • Verify orthodontic insurance coverages and communicate coverage details clearly to patients
  • Assist with patient intake processes by collecting accurate medical histories, updating electronic health records (EHR systems), and reviewing documentation for completeness
  • Present and coordinate treatment plans with orthodontists and ensure patients understand their care options and financial responsibilities
  • Handle phone inquiries with excellent phone etiquette, providing information about procedures, appointment scheduling, and billing questions
  • Coordinate and carry out clinical visits as needed to support patient emergencies to resolve patient discomfort, concerns, and questions in a timely and professional manner.
  • Manage medical billing and coding processes including CPT coding, ICD-10/ICD-9 coding for procedures and diagnoses related to orthodontic treatments
  • Maintain accurate medical records by filing documents properly and ensuring compliance with HIPAA regulations
  • Support insurance verification efforts by understanding Medicare policies, ICD coding requirements, and documentation review procedures
  • Facilitate communication between patients, insurance companies, and clinical staff to ensure timely approvals and payments
  • Perform administrative tasks such as data entry, typing reports, managing multi-line phone systems, and supporting office management activities

Experience

  • Prior clinic experience in a dental or orthodontic setting required; familiarity with dental terminology is a plus
  • Demonstrated success in medical office management or administrative support within healthcare environments with clinical skillset
  • Proficiency in electronic health record (EHR) systems such as Epic, Meditech, eClinicalWorks, or similar platforms
  • Strong computer skills including Microsoft Office Suite; experience with dental practice management software like Eaglesoft or Dentrix is advantageous
  • Excellent customer service skills coupled with professional phone etiquette and the ability to handle multi-line phone systems effectively
  • Knowledge of medical billing procedures including insurance verification, medical coding (CPT, ICD), and documentation review processes
  • Bilingual abilities are a plus to serve diverse patient populations effectively
