Outreach Assistant

Job Title: Outreach Assistant

FLSA Status: Non-Exempt

Schedule: Part time, 24hrs/week; 4-8hrs Saturday non-negotiable, 16hrs flexible hours

Summary:
Assist with coordination of Outreach services including the Books2Go program, Branch Deliveries, Community Shelves, Home Delivery, and community events.


Educational and Experience Requirements:

Minimum:

  • 15+ hrs of college or relevant experience
  • High School Diploma
  • Valid Driver’s License

Preferred:

  • Experience with public libraries
  • Experience with outreach and community engagement

Duties and Responsibilities include the following. Other Duties may be assigned as needed.


Circulate Library Materials

  • Place, process, and deliver holds for patrons utilizing the Book2Go program at Assisted Living Facilities, Schools, and Senior Centers accurately in a reasonable amount of time.
  • Print due date slips and contact patrons when holds are ready to pick up at community drop off locations.
  • Refill and Replenish Community Shelf materials at partner locations

Assist with Outreach Services

  • Evaluate individuals to determine if they are eligible for Outreach services
  • Pull, request, and find items that meet the needs of Outreach patrons for various programs including Home Delivery, Books2Go, etc.
  • Fill in for other staff members who deliver for various deliveries when needed
  • Assist with representing the library in the community through programming to populations in most need of library services
  • Locations may include senior living facilities, community centers, etc.
  • Meet with community partners to better expand Outreach services in the community
  • Assist during community events and parades.

Keep and Maintain Records

  • Maintain records and statistics across multiple delivery programs, including item circulation, delivery and contact dates, and returned materials from community partner locations.
  • Complete accurate delivery and travel logs of library materials and vehicles
  • Submit gas and mileage receipts promptly with accurate dates and vehicle information

Assist with Library Book Drops and Vehicle Maintenance

  • Visually inspect book drop locations and vehicles for vandalism and damage
  • Inform appropriate staff members of any maintenance issues
  • Uphold schedule and perform routine cleaning of book drops and vehicles

Communication with Co-Workers and Administration

  • Effective, timely, thorough, and respectful communication with co-workers, Administration, and IT/Facilities in-person, by phone, in writing, or by email to communicate any concerns regarding deliveries, vehicles, or technology related issues.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. While performing duties of this job, the employee could be expected to do the following:

  • Frequently move about or position self to access library materials and office equipment on the floor, in totes, and on shelves up to 6 feet in height.
  • Repeatedly move individual bags of library materials up to 40lbs and push a cart full of bags weighing approximately 200+ lbs.
  • Working and driving in outdoor weather conditions during deliveries.
  • Regularly operate a computer, printer, barcode scanner, and other office equipment.

Knowledge, Skills, and other Abilities:

  • Excellent customer service skills
  • Proficient computer skills: familiar with using the internet, office productivity software (i.e. Google Workspace, Microsoft), and email.
  • Ability to work with scanners, printers, and photo copiers
  • Working knowledge of reader interest levels, books, authors, and reference sources
  • Working knowledge of automated library circulation systems and online databases
  • Working knowledge of print, non-print, digital, and online information sources available from a wide variety of sources, including publishers, the internet, and library and vendor-based systems
  • Ability to present ideas and provide instruction; comfortable with teaching and using of various forms of technology
  • Ability to adapt to multiple demands and changing priorities, to learn and be willing to embrace change
  • Ability to develop or demonstrate necessary decision-making, leadership, team-building, strategic, and conflict-resolution skills
  • Ability to set priorities, organize, and coordinate multiple projects
  • Ability to successfully maintain the performance of assigned duties and responsibilities to achieve the desired outcomes.
  • Ability to communicate effectively verbally, in writing, and by listening
