Position Overview
The Paralegal provides direct support to the partners by managing case calendars, coordinating schedules, and ensuring compliance with all critical deadlines. This position requires exceptional organizational skills, attention to detail, and the ability to prioritize and manage multiple cases in a fast-paced environment. In addition to traditional paralegal duties such as filing, and maintaining case files, this role emphasizes proactive calendar and workflow management to support efficient case progression. Required proficiency in Outlook, Adobe Acrobat, MS Office Word and Excel. Hiring is contingent upon clean background check.
Key Responsibilities
- Manage partner and case calendars, including hearings, depositions, client meetings, trials, and filing deadlines.
- Track and monitor all key dates (court filings, discovery deadlines, statutes of limitation) to ensure timely compliance.
- Coordinate scheduling among courts, opposing counsel, clients, and internal teams to prevent conflicts and maintain accurate records.
- Regularly review and update master calendar; prepare reports highlighting upcoming events and deadlines for staff meetings.
- Maintain accurate scheduling details in firm case management and calendaring systems using Clio software.
- Organize and maintain electronic and physical case files to ensure accuracy, completeness, and accessibility.
- Copy exhibits, and prepare materials for depositions, hearings, and trials.
- Coordinate communication with clients, witnesses, experts, and vendors to schedule meetings and exchangedocuments.
- Maintain and update task lists, case timelines, and status reports to support proactive case management.
- Provide reminders and updates to partners and staffregarding deadlines, meetings, and priorities.
- Assist with travel and logistical planning for hearings, mediations, or depositions
.• Identify and recommend process improvements to enhance efficiency in calendar management, case tracking, and document control.
- Manage database of contacts and referral sources
- New client contact and preparation of retainer agreement
- Correspondence and filing (electronic and hard copy)
- Billing assistance, client payment processing and preparation of fee schedules using excel on an as needed basis
- Maintenance and tracking of the firm’s and individual professional licenses of two partners
- General duties include ordering of supplies, and maintenance of the common office area and conference room.
- Coordinate with vendors for issues including but not limited to shredding service, copier maintenance, etc.
Job Type: Full-time
Pay: $70,000.00 - $75,000.00 per year
