Overview

We’re a multi-entity business portfolio seeking an experienced Insurance & Self-Insurance Account Manager with a paralegal foundation to own day-to-day insurance administration, self-insurance coordination, claims oversight, certificate compliance, and contract/renewal support across all companies. This person is highly organized, calm under pressure, and comfortable communicating with brokers, carriers, TPAs, adjusters, attorneys, and internal operators.

What You’ll Own

Insurance program administration (multi-entity)

  • Maintain the full insurance program calendar (renewals, audits, endorsements, certificates, notices, payments, and reporting deadlines).
  • Serve as primary day-to-day contact with brokers and carriers; prepare submissions and renewal data packages.
  • Track policies across lines (GL, WC, Auto, Property, Umbrella/Excess, EPLI, Cyber, Builders Risk, Professional, etc.) and entities.

Self-insurance / risk administration (where applicable)

  • Coordinate with TPAs/adjusters on claims intake, documentation, reserves, and status updates.
  • Maintain claim files, correspondence logs, and internal reporting dashboards.
  • Support incident reporting processes and ensure timely, complete documentation from field teams.

Claims management & loss control

  • Triage incidents, open claims, gather statements/photos/videos, and manage follow-ups.
  • Track trends (frequency/severity) and recommend process fixes with operators (training, vendor controls, safety, documentation).
  • Coordinate inspections, loss-control recommendations, and corrective action tracking.

Certificates of Insurance (COIs) & vendor/contract compliance

  • Issue and track COIs; ensure additional insured / waiver of subrogation requirements are met.
  • Maintain vendor insurance compliance standards and follow up on expirations and deficiencies.
  • Partner with operations/procurement to enforce “no COI / no work” where required.

Paralegal-style contract & legal admin support (non-attorney)

  • Review contracts for insurance/risk language (indemnity, additional insured, limits, notice requirements) and flag issues for leadership/counsel.
  • Maintain entity records: key agreements, policy binders, claims files, litigation holds (if needed), and renewal archives.
  • Support outside counsel with organized document production, timelines, and matter tracking (no legal advice).

Financial & audit support

  • Assist with premium allocations across entities, reconciliations, and payment tracking.
  • Coordinate carrier/TPA audits (especially WC audits): payroll/class codes, subcontractor COIs, and supporting documents.
  • Build simple reporting that leaders actually use (monthly claims summary, renewal readiness, compliance status).

Preferred

  • Paralegal experience (contracts, document management, compliance, matter tracking).
  • Experience with workers’ comp audits, class codes, subcontractor compliance.
  • Hospitality, construction, manufacturing, or multi-site operations experience.
  • Familiarity with safety programs, incident reporting, and loss-control processes.
  • Comfort building simple dashboards (Sheets/Excel) for claims and renewals.

Job Type: Full-time

Pay: $40,000.00 - $47,000.00 per year
