<Job Summary>
We are seeking a proactive and detail-oriented Paralegal/Administrative Assistant to join our legal team in the Boston area. In this role, you will provide essential litigation support in addition to various administrative duties. Your energetic approach and organizational skills will help ensure smooth legal operations, effective document management, comprehensive research and effective administrative support. This paid position offers an exciting opportunity to develop your legal expertise while contributing to impactful cases and projects. Position is in office, Monday-Friday, 9:30 a.m. - 5:30 p.m.
<Responsibilities>
- Organize and maintain the managing partner’s calendar, scheduling appointments, and ensuring the partner is prepared for events, meetings and court appearances.
- Handle and prioritize incoming/outgoing correspondence (i.e., e-mails, letters, invoices, court filings).
- Knowledge of state and federal court procedures.
- Arrange meetings, prepare agendas, take minutes, and follow up on action items to insure effective communication and collaboration among team members.
- Manage incoming and outgoing communications, including e-mails, phone calls, and letters, often acting as the first point of contact for the managing partner.
- Organize travel plans, including booking flights, accommodations, and transportation, ensuring that all logistics are handled efficiently.
- Maintain confidential files and documents, ensuring important information is
- organized and accessible.
- Perform a wide variety of administrative tasks, such as research, managing budgets, supporting the managing partner’s decision-making process.
- Prepare, review, and proofread legal documents including contracts, pleadings, briefs, and correspondence with precision and attention to detail.
- Manage legal case files using document management systems; ensure all records are organized and up-to-date.
- Conduct thorough document review and data entry to facilitate accurate case tracking and compliance.
- Perform administrative duties such as filing, client billing, telephones, and general clerical tasks to keep the office running efficiently.
- Assist with client interviews and maintain confidentiality while supporting client communication efforts in various practice areas including family law and immigration law.
<Qualifications>
- Preferably 5 or more years paralegal experience or equivalent legal administrative experience in a fast-paced law office environment.
- Strong knowledge of legal research and document management software.
- Familiarity with a broad range of practice areas, specifically municipal and litigation procedures.
- Excellent organizational skills with the ability to manage multiple projects simultaneously.
- Demonstrate proficiency in document review, legal drafting, proofreading and transcription.
- Exceptional writing skills combined with strong attention to detail for drafting legal documents.
- Effective communication skills with professional phone etiquette.
- Exceptional attention to detail.
- Ability to prioritize tasks efficiently in a busy environment while maintaining high standards of accuracy.
