Responsibilities:

a. Review, draft, verify, and organize all necessary legal documents, including contracts, statements of sale, loan documents, and title commitments, for accuracy and completeness.

b. Draft legal documents, letters, contract addenda, and occupancy agreements for private representation files with accuracy and efficiency.

c. Maintain clear communication from attorneys with buyers, sellers, real estate agents, lenders, title companies, and other relevant parties.

d. Review letters with clients for their understanding and also their response to contract modifications or inspection negotiations.

e. Coordinate closing dates, times, and locations with all parties involved allowing for flexibility in attorney schedules.

f. Identify and resolve any discrepancies or issues with the closing documents or process, including any contingencies to ensure a successful closing.

g. Resolve title issues.

h. Ensure all closing activities comply with relevant regulations and legal requirements.

i. Calculate closing costs, order payoffs, direct water readings, coordinate fund disbursements, provide statements of sale, and ensure accurate financial transactions.

j. Attend pre-signed closings as necessary.

k. Complete data entry and maintain accurate records of all closing-related activities and documentation.

l. Perform clerical tasks such as answering phones, taking messages, responding to emails, and filing documents

Experience:
- Previous experience as a paralegal assistant or in a similar administrative role preferred
- Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously
- Proficient in using document management systems and other legal software
- Excellent attention to detail and proofreading skills
- Familiarity with legal terminology and procedures
- Strong written and verbal communication skills
- Ability to maintain confidentiality of sensitive information

Existing notary public license not required, but candidate should be willing to apply for a notary public license if they do not already have one.

Please note that this is a general overview of the responsibilities and experience required for the position of Paralegal/Assistant. Additional duties may be assigned as needed.

Job Type: Full-time

Pay: $55,000.00 - $65,000.00 per year
