Job Title: Title Clerk / Administrative Assistant – Automotive Dealership

Summary
The Title Clerk/Administrative Assistant supports the dealership by accurately processing all vehicle title and registration paperwork and providing general office and customer service support. This role helps ensure every sale is legally compliant, correctly recorded, and completed in a timely, professional manner.

Key responsibilities

  • Process all new and used vehicle title and registration paperwork for retail, lease, and wholesale deals in accordance with South Carolina and any out-of-state regulations.
  • Prepare and review tax, title, and registration documents for accuracy, completeness, and proper signatures before submission to DMV and other agencies.
  • Submit title and registration work to the appropriate motor vehicle agencies and track the status of all pending titles until completed.
  • Verify funds, lienholder information, payoffs, and trade-in documentation before processing title applications.
  • Maintain an organized log of all titles, temporary tags, and outstanding title work; promptly flag missing or problem titles to management.
  • Prepare payoff checks, dealer trade paperwork, Certificates of Origin, and stock cards as needed for vehicle inventory.
  • Post vehicle sales and purchases into the dealership management system or accounting software as directed.
  • Process and file warranties, service contracts, and related documents, keeping accurate records for future reference.
  • Answer phones, greet customers, and route calls or visitors to the appropriate department with a friendly, professional attitude.
  • Perform general administrative tasks such as scanning, filing, data entry, mail handling, and ordering office supplies.
  • Assist sales, finance, and management with paperwork, reports, and special projects to support daily dealership operations.
  • Stay current on changes in title, registration, and tag regulations; follow all dealership, state, and federal compliance policies.

Qualifications

  • High school diploma or equivalent required; additional coursework in business or office administration is a plus.
  • MUST Be able to pass a background check.

  • Previous experience in automotive titling, DMV, finance office, or dealership administration.
  • Strong attention to detail and accuracy when working with legal documents and numerical data.
  • Proficient with computers, including MS Office (Word, Excel, GMail) and ability to learn dealership software quickly.
  • Excellent organizational skills with the ability to manage multiple files and deadlines in a fast-paced environment.
  • Clear, professional communication skills in person, on the phone, and in writing.​

  • Ability to maintain confidentiality of customer, financial, and dealership information.

Work schedule and conditions

  • Part-Time(1099) posistion - You will be scheduled on average 10-30 hours per week during our normal business hours, possibly more during holidays or special events (tax time, etc). You will be scheduled at least a week in advance and will likely include Saturdays.
  • Time will be managed using our time keeping application.
  • Primarily office-based work environment with significant time spent at a computer and handling physical paperwork. Some outside work may be required to help customers. On a rare occasion you may have to help transport cars or clean cars.

Pay: $12.00 - $20.00 per hour

Expected hours: 10.0 – 30.0 per week

  • Title processing: 1 year (Preferred)
  • Clerical: 1 year (Required)
  • Dealership: 1 year (Preferred)
  • Computer skills: 1 year (Required)
