Capital Boutiq Property Management, LLC is a vertically integrated affordable and workforce housing platform based in the Dallas–Fort Worth area. We're looking for a hands-on, detail-oriented HR & Accounting Associate to own our accounting and core HR functions, working alongside our outside CPA.
Position Overview
This is a part-time role of approximately 40 hours per month, with flexibility in how you structure your time. You will own the full accounting cycle and the core human resources function for Capital Boutiq's portfolio across AppFolio and ADP: month-end close, bank reconciliations, journal entries, AP, payroll, vendor management, financial reporting, and HR administration (PTO, benefits, personnel records, and compliance). Year-end tax, K-1s, and audit support are coordinated with our outside CPA.
This is a hands-on bookkeeper / staff-accountant role for someone who is comfortable doing the work independently with minimal supervision and who is extremely proficient in AppFolio. There is room to take on more as the portfolio grows.
Responsibilities
Accounting Operations
- Confirm bank deposits clear across operating and security-deposit accounts
- Reconcile petty cash by property and review corporate credit-card transactions
- Month-End Close & General Ledger
- Own the full month-end close in AppFolio, targeting a 5–7 business day close after period end
- Run Financial Diagnostics; resolve security-deposit liability mismatches, clearing-account balances, and GL coding errors
- Post accrual and adjusting journal entries (prepaids, real estate taxes, insurance, depreciation, mortgage interest, amortization)
- Maintain the recurring accruals schedule; post Gross Potential Rent and verify management-fee calculations across both properties
- Review the GL for misclassifications and investigate variances against budget
- Lock the accounting period after final review and management sign-off
Bank Reconciliation & Cash Management
- Reconcile all operating and escrow/security-deposit accounts monthly using AppFolio's Triple Tie-Out
- Investigate and clear stale items; void and reissue checks as needed
- Monitor cash positions and prepare regular cash-flow updates for ownership
Accounts Payable & Vendor Relations
- Book some back-office vendor bills and POs in AppFolio;
- Manage recurring POs and accruals (utilities, landscaping, pest control, waste/valet, screening, ILS marketing, etc.)
- Maintain the vendor master file and W-9 collection; serve as the accounting point of contact for vendors
Payroll
- Process payroll in ADP and allocate labor costs across properties per management direction
- Post payroll journal entries to the AppFolio GL and reconcile the ADP register monthly (gross wages, taxes, employer burden)
Financial & Owner Reporting
- Produce the monthly Income Statement, Balance Sheet, Cash Flow Statement, Rent Roll, and Delinquency Report for both properties
- Prepare the monthly owner package with variance analysis (actual vs. budget vs. prior year) and written commentary
- Build and maintain rolling cash-flow projections; support the monthly reforecasting process
Human Resources
- Administer PTO and benefits; maintain personnel records in ADP
- Support HR compliance and onboarding/offboarding documentation
Requirements
- Extensive hands-on experience with AppFolio (required) — you should be highly proficient and able to work independently in the platform
- Full-cycle property management accounting experience (required) — rent roll, Gross Potential Rent, management-fee calculations, security-deposit trust reconciliation, and owner reporting
- Solid bookkeeping / staff-accountant background: month-end close, bank reconciliations, journal entries, AP, and payroll
- Experience processing payroll in ADP (or a comparable platform)
- Strong working knowledge of the general ledger and chart of accounts
- Highly organized, detail-oriented, and able to work independently with minimal supervision
- Affordable / workforce housing accounting experience a plus
- Bilingual English/Spanish a plus
