Position Overview

The Part-Time Administrative Assistant supports daily operations, client communication, and project coordination. This role is ideal for a detail-oriented, organized professional who thrives in a collaborative, fast-paced environment and enjoys contributing to a creative, design-focused business.

Key Responsibilities

  • Manage incoming calls, emails, and client inquiries with professionalism and warmth
  • Schedule client meetings, site visits, and project updates
  • Maintain digital and physical filing systems for contracts, invoices, and project documentation
  • Assist with bookkeeping tasks such as expense tracking, vendor payments, and QuickBooks entries
  • Support project managers with material orders, delivery coordination, and subcontractor communication
  • Update and maintain CRM and project management tools
  • Prepare proposals, estimates, and client correspondence
  • Assist with social media posts, website updates, and marketing materials as needed
  • Ensure smooth day-to-day office operations and uphold company standards of organization and communication

Qualifications

  • Previous administrative or office management experience (construction, design, or landscaping industry preferred)
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office, Google Workspace, and QuickBooks (or similar accounting software)
  • Familiarity with CRM or project management tools (e.g., Buildertrend, Asana, or Trello)
  • Self-motivated, dependable, and comfortable working independently
  • Positive attitude and commitment to teamwork and integrity

Compensation and Schedule

  • Competitive hourly rate based on experience
  • Flexible schedule with potential for growth in hours or responsibilities
  • Hybrid work options may be available after training period
