Maple Meadows Assisted Living and Lakepointe Villa Assisted Living are looking for a Part-Time Administrative Assistant to support our Human Resources, Payroll, and Front Office operations.

This role is ideal for someone who loves variety, takes pride in staying organized, and enjoys being a welcoming face for employees, residents, families, and visitors.

✨ What You’ll Do (A Day in the Life)

As our Administrative Assistant, you’ll be the behind-the-scenes hero helping our communities run smoothly. Your responsibilities will include:

‍ Human Resources & Onboarding

  • Support the HR process from start to finish—background checks, onboarding, orientations, and personnel files
  • Enter and maintain employee data in Workday
  • Assist with employee status changes, Leaves of Absence, and Workers’ Compensation documentation
  • Help department leaders track and maintain mandatory training compliance
  • Ensure company policies, procedures, and CAPLICO Core Values & Code of Conduct are upheld

Payroll Support

  • Assist with payroll-related duties
  • Serve as the Payroll Representative when the Business Office Manager is away

Front Office & Administrative Support

  • Greet visitors with a smile and direct them where they need to go
  • Answer phones, take messages, and assist callers with general information
  • Receive, sort, and distribute mail and coordinate shipping services (FedEx, UPS, etc.)
  • Order and distribute weekly office supplies
  • Jump in on clerical projects and special assignments as needed

What We’re Looking For

We’re searching for someone who is:

  • Friendly, professional, and well-organized
  • Calm under pressure and adaptable in a fast-paced environment
  • Comfortable interacting with residents, families, staff, and visitors
  • Tech-savvy with experience using computers, email, spreadsheets, and word processing software
  • Able to exercise good judgment and maintain confidentiality

Education & Experience

  • High school diploma or equivalent required (Associate Degree in Business or related field preferred)
  • Minimum of 2 years of experience in healthcare or business operations

Physical & Work Environment Highlights

  • Active role with movement throughout the facility
  • Frequent interaction with residents, staff, and visitors
  • Ability to lift, push, pull, or move up to 50 pounds
  • Must be comfortable working in a healthcare environment and assisting in emergency situations when needed
