Part-Time Administrative Assistant / Booking Manager

One Above Entertainment is a Utah-based DJ and event entertainment company specializing in weddings and corporate events. We're a small, family-run team that takes pride in being professional, personable, and easy to work with. We're looking for an organized and dependable Administrative Assistant / Booking Manager to help us keep our clients happy and our operations running smoothly. This position is great for stay at home moms wanting a flexible role or someone who is looking for a little additional work.

Position Details:

  • Part-time, 5–12 hours per week
  • Starting pay: $14-$16/hr
  • Flexible schedule with expected morning and evening work focus (details below)
  • Very light Saturday coverage; no work on Sundays — ever
  • 100% remote (must live in the U.S.; Utah-based is a plus but not required)

Schedule Expectations:

This role requires about two focused work sessions each day, Monday through Friday — one in the morning and one in the afternoon or evening — so that clients and inquiries receive responses within a couple of hours. In addition to those focused sessions, we expect you to be generally available throughout the day to answer calls, respond to texts, and handle anything time-sensitive as it comes up. You don't need to be glued to your phone — if you're at a school event, running errands, or spending time with your family, that's completely fine. But when you're free, we'd love for you to respond so our clients feel like someone is always there for them. On Saturdays, coverage is minimal: just watch for important inquiries or urgent calls and respond only when needed.

What You'll Do:

  • Monitor new client inquiries through our AI-powered CRM and ensure all leads are being handled properly. When the AI gets off track, jump in and fix the conversation quickly.
  • Follow up with leads via phone, email, and text to schedule discovery calls with DJ Cooper Brown or DJ Chase.
  • Track every client from initial inquiry through post-event follow-up, making sure no balls get dropped.
  • Once a client books, set them up in our music planning app (Vibo), send onboarding materials through our CRM (Visco), and make sure payments stay on track.
  • Manage the main company Gmail inbox — sometimes responding as the owner, sometimes as yourself. Quick, clear, professional communication is the standard.
  • Answer incoming calls on our VoIP phone system (Quo) — no personal number needed. The main goal on calls is to be friendly and helpful while scheduling a consultation with one of our DJs.
  • Schedule planning meetings before events so the assigned DJ can connect with the client.
  • Coordinate with event planners, venue contacts, and other professionals — you need to be comfortable talking the talk in the wedding and corporate event world.
  • If a client books musicians, reach out to our musician roster to check availability and confirm the booking.
  • Help clients troubleshoot any issues with the music planning app or other parts of the process.
  • Communicate all booking details and event information to the assigned DJ so they know exactly what to do and where to be.
  • Review notes from recorded sales calls (using our note-taking tool) to stay up to speed on client conversations.
  • Work with our AI/CRM support team to flag and fix any recurring issues in the automated system (you don't need to do any programming — just communicate what's not working).
  • Create and send a bi-monthly MailChimp newsletter to past clients and partners, featuring photos and videos from recent events. Training provided.
  • After events, send follow-up emails to collect feedback and browse event photo galleries to download the best shots for our social media team. (This is a fun part of the job!)
  • Stay active on Discord, our internal communication tool, to send updates, ask questions, and stay connected with the team throughout the day.
  • Help with other tasks as needed — rewriting email copy, updating CRM records, reaching out to potential partners, or anything else that helps move the business forward. A can-do attitude is a must

You're a Great Fit If You:

  • You’re comfortable with technology, regularly using your laptop and apps, and can confidently navigate tools like Google Sheets and modern CRMs without needing help on basic tasks.
  • Are organized, detail-oriented, and thrive on keeping things running smoothly
  • Write and speak excellent English — grammar, tone, and professionalism matter a lot here
  • Can pick up the language and culture of weddings and corporate events quickly
  • Are comfortable learning and using tools like Gmail, Discord, CRMs, MailChimp, and VoIP phone systems
  • Are responsive and proactive — you don't wait to be told what to do
  • Have a positive, can-do attitude and genuinely enjoy helping
  • Are comfortable being part of a small, family-based team where you'll work closely with the owner, his wife, and our team DJ.

Requirements:

  • Own a laptop and smartphone (company can provide a laptop if needed)
  • Available for morning and evening work sessions, Monday–Friday, with general availability for calls/texts throughout the day
  • Light Saturday availability for urgent items only (rare)
  • Live in the United States (Utah-based preferred, not required)
  • Fluent English with strong writing ability — this is non-negotiable

Note: This is a part-time hourly position. There are no benefits or PTO included. We are flexible on schedule, so if you have a trip or have certain days you're not able to work, just notify the owner. As long as it doesn't happen too often, we will make it work :)

Job Type: Part-time

Pay: $14.00 - $16.00 per hour
