Part-Time Administrative Assistant (Legal)

Peretz & Associates is a busy, fast-paced San Francisco based civil litigation law firm seeking to employ a Part-Time Administrative Assistant. We are looking for someone who seeks a challenge, holds a high degree of common sense with a strong willingness and adaptability to learn, and is committed to taking their integral role in the company seriously as there is much room for growth. This position is remote but often requires on-site assistance at the firm’s in-home office or downtown San Francisco office as needed. Local San Francisco/Bay Area candidates are preferred.

Position Responsibilities / Tasks

The administrative assistant will primarily aid our law firm’s Office Manager, but will report directly to both the Office Manager and principal attorney. Responsibilities of this role include:

- Providing administrative support to office attorneys and Office Manager

- Scheduling and coordinating with local court reporting agencies, and general management of the firm’s deposition schedules

- Assistance with general client billing processes, accounts payables and accounts receivables

- On-site printing, scanning, copying, exhibit tabbing and assembling of various types of documents to be used for trial hearings, depositions and other legal proceedings

- Coordinate courtesy copy deliveries to local State a Federal Courts

- Office calendaring

- Maintaining and organizing electronic case files in accordance with office policies

- Word processing, including letters, spreadsheets, court forms, and other documents

- Aiding office manager and bookkeeper for accounting projects

- Distribution of daily mail delivery

- Providing ad-hoc assistance with various other tasks and projects

Requirements

- Highly developed attention to detail

- Strong and effective communication and follow-up skills

- Ability to anticipate and exercise urgency

- Ability to think and work independently, and find productive solutions if necessary

- Ability to meet strict deadlines, remain organized and prioritize multiple tasks

- Uphold confidentiality, and exercise discretion and tact

- Thorough knowledge of Microsoft Office including Word, Excel, Outlook, Adobe and QuickBooks helpful

- Experience with correspondence with the Courts, legal filing and legal calendaring helpful
