Intelligent Communities Group is hiring a part-time remote administrative contractor to support operations across a portfolio of multiple organizations. This is a flexible, independent contractor engagement for a self-starter with strong administrative skills and excellent time management.
About the Role
This remote part-time position offers approximately 10 hours per week of consistent administrative work supporting a dynamic multi-organization management firm. The role includes scheduled check-ins with management and flexible hours otherwise.
Responsibilities
- Data entry and records management
- Billing and billing follow-up
- Regular email communication with internal team members and clients
- Administrative support across multiple organizational accounts
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks accounting software
- Support office management tasks such as filing, document proofreading, and organizing digital files for easy retrieval
- Assist with calendar management, scheduling appointments, and coordinating meetings efficiently
- Provide excellent customer support through phone etiquette and prompt responses to inquiries in both English and bilingual communication as needed
- Handle bookkeeping tasks including invoicing, expense tracking, and reconciling accounts using QuickBooks
- Maintain organized office workflows by managing correspondence, filing systems, and supporting personal assistant duties as required
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Working knowledge of Microsoft Office, QuickBooks, and CRM platforms
- Strong written communication skills
- Excellent time management and organizational skills
- Ability to work independently in a remote environment
- Comfortable asking for what is needed to complete a task without waiting to be directed
- Strong typing skills with attention to detail for data entry tasks
- Demonstrated ability to manage time effectively and prioritize multiple tasks in a remote setting
- Previous experience in office management or personal assistant roles is advantageous
