Part-Time Archivist / Records Coordinator - Supporting the Legacy of a Community of Sisters $20/hr

Summary of Principal and Major Responsibilities:

The Part-Time Archivist supports the mission of the Congregation of Divine Providence by preserving and maintaining the Congregation’s historical records and materials. This role ensures the proper organization, cataloging, and safeguarding of documents, photographs, and artifacts that reflect the history, spirit, and legacy of the Congregation. The position requires careful stewardship, attention to detail, and respect for the confidentiality and significance of archival materials.

Pay Status: NON-EXEMPT. Subject to the Fair Labor Standards Act (FLSA) and therefore entitled to its minimum wage, overtime pay, recordkeeping, etc.

Principal Duties and Responsibilities (Essential Functions):Archives & Records Responsibilities

· Acquire, organize, catalog, and preserve Congregational records of enduring value.

· Maintain inventories, indexes, and guides for archival holdings.

· Ensure compliance with CDP’s Archives Policy, including confidentiality and access controls.

· Support record transfers from Congregational offices and ministries in their original state.

· Facilitate appropriate access for Sisters, researchers, and approved staff while protecting sensitive materials.

· Assist with digitization and preservation projects to ensure long-term accessibility and historical continuity.

· Maintain orderly and secure storage of physical and digital archival materials.

· Share notable archival materials, collections, or findings with the Congregation as appropriate.

Job Specifications:

Qualifications:

· Associate’s or Bachelor’s degree in history, library/archives science, records management, or related field preferred.

· Experience in archives, records management, administrative support, or related area preferred.

· Strong organizational skills and attention to detail.

· Ability to handle confidential and sensitive information with discretion.

· Proficiency in Microsoft Office; experience with digital filing systems or archival tools is a plus.

· Ability to work independently and manage time effectively in a part-time role.

Working Conditions:

· Ability to sit, stand, and work at a computer for extended periods.

· Flexible part-time schedule based on organizational needs.

· Must be able to lift up to 25 lbs. (archival boxes).
