Part-Time Bookkeeper (Healthcare / Wellness Practice)

Job Description:

Peaceful Mind Centers is a growing integrative wellness clinic offering psychotherapy, holistic therapies, classes, and retail wellness products. We are seeking an experienced part-time bookkeeper familiar with healthcare, therapy, or multi-provider service businesses to maintain accurate financial records and support our CPA.

This role is primarily remote with occasional coordination regarding clinic operations and reporting.

We are specifically looking for someone comfortable managing a service-based practice with contractors, revenue splits, prepaid packages, and retail sales.

Responsibilities:

• Maintain and reconcile QuickBooks Online monthly
• Categorize income and expenses accurately
• Record provider revenue splits and contractor payouts
• Track prepaid packages (unearned revenue) and session usage
• Track retail product inventory and cost of goods sold
• Reconcile merchant accounts (credit card processors)
• Prepare monthly financial statements (P&L, Balance Sheet)
• Coordinate year-end reporting with CPA
• Prepare 1099 contractor payment summaries
• Monitor payroll entries and ensure correct recording
• Assist with financial organization as the clinic grows

Required Qualifications:

• 2+ years bookkeeping experience
• Strong QuickBooks Online proficiency
• Experience with service-based or multi-provider businesses
• Experience working with independent contractors (1099)
• Ability to categorize and reconcile accounts accurately
• Strong attention to detail and reliability

Preferred (Highly Desired)

• Experience with therapy practices, med spas, chiropractic, behavioral health, or wellness clinics
• Familiarity with revenue splits/provider payouts
• Experience tracking prepaid packages or memberships
• Experience with retail inventory accounting
• Comfortable coordinating with CPA
