Part-Time Church Administrative Assistant
Reports To: Senior Pastor
Principle Function: Church Secretary
Status: Part-time; 15-20 hours per week
Starting rate at $12 per hour with opportunity for pay increase after successful performance review
Qualifications:
- A committed Christian; a servant’s heart; high degree of personal integrity
- Intelligent, open-minded and emotionally stable with a high level of people skills
- Able to maintain a high level of confidentiality
- Knowledge of modern office procedures and methods including telephone communications, office systems and financial record keeping
- Knowledge of modern business communication, including style and format of letters, memoranda, minutes and reports
- Knowledge of computer systems, including Microsoft Word, Microsoft Excel, Microsoft Publisher, QuickBooks accounting software, and flexibility of being trained for future needs in this area
- Knowledge of social media platforms such as Facebook, Twitter, and WordPress
- Ability to at least type 50 words per minute
- Ability to establish priorities, work independently, and proceed with objectives without supervision; ability to stay on task in a busy office atmosphere; problem solver
- Three years related experience or equivalent combination of education and experience;
- Timely and consistent attendance.
Principle Duties and Responsibilities: Church Secretary
- Perform general office work; keep files and records; maintain supplies
- Receive, screen and direct calls; receive and greet visitors; distribute mail
- Use current software to prepare the church newsletter and Sunday bulletin
- Scheduling-Church calendar; use of church facilities and keys
- Maintain church membership files (baptisms, transfers, birthdays, anniversaries, etc.)
- Maintain all church records (Deacons, committees, organizations) and prepare reports as needed
- Support all church staff and volunteers through communication, correspondence, materials (Notification of meetings, type and distribute menus, nursery schedule, etc.)
- Support Wednesday Night Fellowship Suppers (Take reservations-calls, email, online)
- Prepare needed items (new member packets, items needed by committees and deacons)
- Assist those using church facilities (forms, orientation, keys etc.)
- Prepare general Sunday needs (bulletins, copies, copy paper, toner, offering deposit bags)
General
- Perform other duties as assigned by the pastor
- Exercise tact, courtesy and diplomacy with all people
- Keep the Senior Pastor informed of pastoral needs, etc.
- Abide by the Church Constitution and other provided policies
- Light to medium lifting and movement of small objects
- Evaluation by the Senior Pastor and Personnel Committee at least annually
- Be able to attend weekly staff meeting
- Be able to keep website, social media, phone tree, and church sign all current
- Driver's license is preferred since some mailing of materials require drop off at local post office.
