Part-Time Client Operations Coordinator (Marketing & Web Projects)

We are a growing marketing and web services company working with a range of clients on website projects, digital marketing, and ongoing support. We pride ourselves on delivering great work—but just as importantly, a great client experience.

We are looking for a highly organized, proactive communicator to take ownership of our client communication and onboarding processes.

About the Role

This is a part-time role focused on ensuring our clients feel informed, supported, and never “in the dark.”

You will work directly with the owner and team to manage communication across active projects, onboard new clients, and keep everything moving forward.

This is not a passive assistant role. You will be expected to take ownership, follow up persistently, and help enforce consistency across the team.

Schedule & Location

Regular Monday & Wednesday hours, and other hours as agreed.

The first month you will work from Regus in Renton after which you will work remotely with ocassional in-person meetings or co-working sessions with the team.

Key Responsibilities

Client Communication (Core Focus)

  • Send weekly project updates to clients (every Monday)
  • Ensure no client goes more than 7 days without communication
  • Translate internal project updates into clear, client-friendly messaging
  • Follow up with clients via email, phone, or video calls as needed
  • Coordinate and co-create monthly reports for ongoing service clients

Project Coordination

  • Attend weekly team meeting (Monday) to gather project updates
  • Track active projects and identify missing updates or risks
  • Follow up with team members to gather needed information
  • Help ensure tasks and timelines stay on track

Client Onboarding

  • Coordinate onboarding for new clients after a sale is made
  • Schedule kickoff calls and ensure smooth handoff to the team
  • Set expectations and next steps clearly with clients

Follow-Ups & Accountability (Wednesday Focus)

  • Follow up on open items from earlier in the week
  • Schedule meetings and move stalled items forward
  • Identify and escalate potential client concerns early

  • Clients consistently receive timely, clear updates
  • No client feels ignored or unsure about project status
  • Internal team is held accountable for providing updates
  • Projects move forward smoothly with fewer bottlenecks

Ideal Candidate

You are:

  • Highly organized and detail-oriented
  • A strong written and verbal communicator
  • Comfortable being persistent and following up with others
  • Proactive—you don’t wait to be told what to do
  • Confident interacting with both clients and internal teams

Experience that helps:

  • Agency, marketing, or client services background
  • Project coordination or account support experience
  • Experience working remotely with small teams

Tools We Use

(You must be computer-savvy. Experience with these specific tools is a plus, but not required)

  • Google Workspace (Docs, Gmail, Calendar)
  • Project management tools (Trello)
  • Zoom / Google Meet
  • Process Management (Process.st)
  • Customer Relationship Manager (Serenity CRM)

Growth Opportunity

This role has the potential to grow over time into a larger operations lead or client success position, including deeper involvement in onboarding, project coordination, and client experience.

Pay: $25.00 - $30.00 per hour

Work Location: Hybrid remote in Renton, WA 98057
