Job Description:
We are seeking a highly organized and proactive Part Time Executive Assistant to provide essential support the Division Vice President. This role requires excellent time management skills, impeccable organization, and the ability to work efficiently with minimal direction. The ideal candidate will be dedicated to enhancing the Presidents productivity and effectiveness by implementing strategies to streamline workflows and improve organization.
Responsibilities include but are not limited to:
- Act as the primary point of contact and ambassador for the Executive, maintaining a professional and approachable demeanor at all times.
- Manage Executive's schedule, appointments, and travel arrangements
- Ensure all commitments and correspondents are attended to in a timely manner.
- Proactively identify opportunities to enhance efficiency and effectiveness, implementing systems and processes to optimize his workflow.
- Manage and track status of Employee documents and Contracts
- Prepare for staff meetings by organizing documents, creating presentations
- Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
- Assist with administrative tasks including correspondence, filing, and data entry.
- Utilize Microsoft Office suite, particularly PowerPoint, Excel, and Word, to create and edit documents, presentations, and spreadsheets.
Qualifications:
- Excellent Verbal and Written communication skills
- Highly organized with exceptional time management skills
- Proactive and self-directed, able to work independently
- Strong social skills and a team-oriented disposition
- Strong integrity and discretion, able to handle confidential information
- Proficiency in Microsoft Office suite, including PowerPoint, Excel, and Word.
- Previous experience in a similar role required.
- Bachelor's degree is desirable but not essential; relevant experience and skills will be considered.
