Job Overview

The Executive Administrative Assistant provides administrative support to the Chief Executive Officer as needed. They are responsible for producing assigned correspondence, answering and screening calls, providing information or referring to appropriate staff, taking messages, opening, scanning, and distributing as appropriate, the Chief Executive Officer’s mail while disposing of routine correspondence. This position also requires the ability to set appointments, arrange special conferences and special projects, and taking meeting notes as assigned by the Chief Executive Officer.

Responsibilities

  • Manage calendar scheduling and coordinate appointments using Microsoft Outlook Calendar and Google Workspace tools.
  • Provide executive administrative support by preparing documents, proofreading, and handling correspondence with professionalism.
  • Assist with event planning and logistical arrangements for meetings, workshops, and community events.
  • Handle multi-line phone systems with excellent phone etiquette, ensuring prompt and courteous communication with clients and staff.
  • Support bookkeeping tasks including invoicing, billing, and basic bookkeeping s.
  • Maintain a well-organized front desk area, ensuring a welcoming environment for visitors and callers.

Skills

  • Proven experience in administrative roles with strong office management capabilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent organizational skills with the ability to multitask effectively in a dynamic setting.
  • Strong typing skills along with transcription and proofreading abilities for document accuracy.
  • Knowledge of project coordination techniques and event planning procedures.
  • Exceptional customer service skills combined with professional phone etiquette.
  • Ability to manage calendar systems efficiently using Microsoft Outlook Calendar or similar tools.

Pay: From $20.00 per hour
