Part Time Executive Assistant-Experience in SENIOR LIVING BUSINESS OFFICE functions required.

Job Summary

The position is one that assists the Chief Operating Officer of a Senior Living company with the business functions such as:

-Recruiting

-Assisting with Payroll Functions

-Assisting with Accounts Payable and Receivables

-Assisting with all other administrative tasks as assigned.

FAMILIARITY WITH VIVENTIUM PAYROLL AND/OR ECP BILLING would be fabulous. EXEPERIENCE IN BUSINESS OFFICE FUNCTIONS OF SENIOR LIVING A MUST.

The job is Part Time, three days per week and will work out of our Lakeside Senior Living Community based in the Lakeside area of Henrico.

We are seeking a highly organized and proactive Executive Administrative Assistant to support our senior living operations, with a focus on payroll and billing functions. This part-time role, requiring three days per week, offers an exciting opportunity to contribute to the smooth management of administrative tasks, ensuring efficient office workflows and exceptional support for leadership. Duties

  • Provide comprehensive executive administrative support to senior management, including calendar management, appointment scheduling, and correspondence handling using Microsoft Outlook Calendar and Google Workspace.
  • Assist with payroll processing and billing activities by maintaining accurate records, data entry in QuickBooks and other accounting software, and coordinating payments through platforms like DocuSign.
  • Manage office operations efficiently by overseeing filing systems, organizing documents, proofreading reports, and performing transcription tasks as needed.
  • Coordinate special projects and events related to senior living initiatives, including planning logistics, preparing materials, and ensuring timely execution.
  • Serve as the front desk receptionist by answering multi-line phone systems with professionalism, greeting visitors, and providing excellent customer service.
  • Support clerical functions such as data entry, filing, photocopying, and maintaining office supplies inventory to ensure a well-organized workspace.
  • Assist with personal assistant duties for leadership when required, including travel arrangements and personal scheduling.

Requirements

  • Proven experience in executive administrative support or office management roles within senior living or healthcare settings preferred.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools like QuickBooks.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Demonstrated experience with bookkeeping, payroll processing, billing procedures, and project coordination.
  • Exceptional communication skills with professional phone etiquette and customer service orientation.
  • High level of computer literacy including familiarity with multi-line phone systems, Microsoft Outlook Calendar management, transcription services, proofreading skills, and familiarity with DocuSign for electronic signatures.
  • Ability to handle confidential information discreetly while maintaining accuracy in recordkeeping.
  • Strong typing skills combined with clerical experience such as filing, front desk duties, and office experience necessary for success in this role.
