Position Overview
Brain Injury Law of Seattle is seeking a dependable and professional part-time Front Desk Receptionist to support the daily operations of our office. This role serves as the first point of contact for clients, vendors, and visitors and helps maintain a welcoming, organized, and professional office environment.
The receptionist assists with phone coverage, mail processing, office organization, and general administrative support for attorneys and staff. The role may also occasionally assist with administrative projects assigned by the Firm Administrator.
This position is well suited for someone who is organized, reliable, and comfortable working in a professional office setting.

Key Responsibilities:
Front Desk & Client Service
· Answer and route incoming phone calls in a professional and courteous manner
· Greet clients, vendors, and visitors and direct them to the appropriate staff member
· Maintain a clean, organized, and welcoming reception area
· Monitor voicemail messages and forward them to the appropriate team members
· Assist with directing client intake calls when needed
Mail & Document Handling
· Retrieve, open, and sort incoming mail daily
· Scan and distribute mail to the appropriate staff members
· Prepare outgoing mail and postage using Stamps.com
· Assist with filing, scanning, and organizing documents
· Monitor confidential shredding and secure document disposal
Office Supplies & Facilities
· Monitor office supply inventory and notify the Firm Administrator when items need to be reordered
· Help keep the reception area, kitchen, and copy room tidy and well stocked
· Assist with basic upkeep of office equipment such as copiers and the coffee machine
· Help maintain a clean and orderly shared office environmentAdministrative Support
· Assist attorneys and paralegals with filing, copying, scanning, and basic administrative tasks
· Support file setup and document organization
· Assist with occasional administrative projects for the paralegal team and firm marketing initiatives
· Run occasional office errands, such as trips to the post office if needed
End-of-Day Office Closing
· Ensure the front door is secured at closing
· Restock copier trays if needed
· Tidy shared spaces and push in chairs
· Run and empty the dishwasher as needed
· Clean and maintain the coffee machine
· Close office blinds and ensure common areas are orderly
Qualifications
· Prior receptionist, administrative assistant, or office support experience preferred but not required
· Strong ability to maintain strict confidentiality when handling sensitive client information, including medical and legal records
· Strong organizational skills and attention to detail
· Professional communication and customer service skills
· Ability to manage multiple tasks and prioritize responsibilities
· Basic proficiency with Adobe Acrobat & Microsoft Office (Word, Outlook, Excel basics)
· Proficiency with Box.com and legal client management software a plus
Work Environment
This position is on-site at our Edmonds office. While some staff members occasionally work remotely, the Front Desk Receptionist role requires consistent in-office presence due to responsibilities involving phone coverage, incoming mail, and handling physical legal documents.
The position involves regular interaction with clients and staff, managing mail and paperwork, and helping maintain shared office spaces.
Pay: $18.00 per hour
