Location: Thomas, Coon, Newton & Frost (TCNF)
Compensation: $19-21/hour | 20-25 hours/week | PTO after 6 months (pro-rata)

Position Overview

We are seeking a friendly, professional, and detail-oriented Front Desk\Administrative Assistant whose primary responsibility will be front desk coverage. This part-time, in-office role focuses first and foremost on learning and providing full front desk coverage—ensuring a welcoming experience for all visitors and callers—while also supporting administrative tasks and general bookkeeping duties as a secondary function.

This position will also serve as backup support for our Front Desk Assistant during planned PTO and other scheduled absences. At times, this may require availability for full-week coverage (37.5 hours). Additionally, there may be occasional schedule adjustments on days when the Front Desk Assistant has out-of-office appointments.

We are looking for someone who values flexibility and can adapt their schedule as needed to ensure seamless front desk coverage and client service.

You will work closely with the Office Manager to keep front desk operations running smoothly and assist with additional administrative projects as needed.

Key Responsibilities

Front Desk Coverage (Primary)

  • Serve as the first point of contact for visitors, clients, and callers
  • Answer and route incoming phone calls promptly and professionally
  • Greet and assist guests, ensuring a positive experience
  • Manage front desk schedule and maintain a professional, welcoming reception area

Administrative & Bookkeeping Support (Secondary)

  • Prepare monthly reports (opened & closed files, client trust balances, referral sources)
  • Process quarter-end invoices and handle bank deposits
  • Open, sort, and distribute mail
  • Enter and track client-related costs and process write-offs
  • Order and maintain office inventory and supplies
  • Coordinate office repairs and maintenance
  • Manage and troubleshoot office equipment (printers, fax machines, etc.)
  • Support remote and hybrid staff with office-related needs

Qualifications

  • Professional demeanor with excellent interpersonal and communication skills
  • Strong organizational skills and keen attention to detail
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Comfortable using standard office technology and systems
  • Discreet and trustworthy with confidential information
  • Dependable, proactive, and adaptable in a fast-paced environment
  • Prior experience in a professional office setting preferred

Work Schedule & Benefits

  • Work Hours:

This is a part-time position with flexible scheduling between 9:00 a.m. and 4:00 p.m., Monday through Friday. Standard schedule options may include:

  • Five (5) 5-hour days
  • Three (3) 7.5-hour days
  • Four (4) 6-hour days

The specific schedule will be determined based on firm needs and front desk coverage. Occasional adjustments to days or hours may be required to accommodate PTO or other planned absences.

  • Benefits: Paid time off begins after 6 months (pro-rated)
