Part-Time Office Assistant (Accounting & Shipping)

Job Summary

Shop Floor Automations is seeking a detail-oriented Office Assistant to support daily administrative operations including billing, order processing, shipping, and office coordination.

This role helps ensure customers receive accurate invoices, timely shipments, and responsive support. The position combines light accounting tasks with shipping and inventory support, making it ideal for someone who enjoys both administrative work and hands-on tasks in a small team environment.

Responsibilities

  • Prepare and send customer invoices, credit memos, and statements
  • Process customer payments (credit card and ACH) and assist with accounts receivable follow-up
  • Document customer interactions and maintain organized customer files
  • Assist sales representatives with quotes, sales orders, and purchase orders
  • Review technician expenses and prepare billable items for customers
  • Package and ship hardware orders using UPS shipping software
  • Receive and inspect incoming shipments and maintain hardware inventory
  • Assemble and test cables or adapters for customer orders when needed
  • Monitor and restock office and shipping supplies
  • Perform general office support tasks to keep operations running smoothly

Minimum Qualifications

  • High school diploma or equivalent
  • General office or administrative experience
  • Ability to lift up to 40 lbs
  • Reliable attendance and consistent schedule
  • Authorization to work in the United States
  • Ability to pass background check and drug test

Preferred Experience

  • QuickBooks (invoicing and payments)
  • CRM systems such as Zoho
  • Sales order software such as QuoteWerks
  • UPS or other shipping software
  • Basic accounting or accounts receivable experience
  • Basic soldering or electronics assembly experience (helpful but not required)

Founded in 1998, our La Mesa office has a small, collaborative environment with long-term employees, many of whom have been with the company for over a decade.

Schedule

  • Approximately 15–20 hours per week
  • Typical schedule around 10:00 AM – 2:00 PM
  • Monday–Friday business hours: 7:00 AM – 4:00 PM
  • Some scheduling flexibility may be available
