Responsibilities
- Greet visitors and manage front desk duties with professionalism and warmth
- Answer multi-line phone systems promptly, directing calls efficiently and courteously
- Perform data entry and maintain accurate records using Microsoft Office and Google Workspace tools
- Manage filing systems, organize documents, and ensure proper document storage
- Assist with bookkeeping tasks using QuickBooks and support basic office management activities
- Support calendar management and schedule appointments for staff or clients
- Provide exceptional customer support and handle inquiries with friendly, clear communication
- Perform general clerical duties such as proofreading, copying, scanning, and mailing documents
Skills
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks or other bookkeeping software is a plus
- Excellent phone etiquette and experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse clients and team members effectively
- Strong typing skills combined with good computer literacy and data entry capabilities
- Ability to multitask efficiently while managing time effectively in a fast-paced environment
- Previous personal assistant or administrative experience is advantageous
- Exceptional organizational skills with the ability to prioritize tasks seamlessly
