Position Summary
Location: Detroit Lakes, MN
Work Setting: In-office only (no remote or hybrid option)
We are seeking a Part-Time Office Assistant / Construction Assistant to support daily office operations, basic accounting functions, and construction administration tasks. This role is ideal for a highly organized, dependable individual who enjoys variety in their work and thrives in a collaborative environment.
This position is intentionally structured as part-time with flexible hours, working approximately 25–30 hours per week, typically five days per week from around 9:30 AM to 2:30–3:00 PM. There may be times when additional hours (up to 40+ per week) are available or needed based on workload, project demands, or staffing needs.
This role is particularly well-suited for someone seeking a school-friendly schedule, such as a parent managing drop-off and pick-up routines.
Key Responsibilities
1. Office Administration & Front Office Support
- Answer and route incoming phone calls; take accurate messages when needed
- Greet and assist visitors at the front desk
- Manage general office communications (email, mail, deliveries)
- Maintain organized digital and physical filing systems
- Assist with scheduling meetings, site visits, and internal coordination
- Order and maintain office supplies
- Support general administrative needs for ownership, project managers, and field staff
- Help maintain a professional, welcoming office environment
2. Accounting & Financial Support (Training Provided as Needed)
- Assist with payroll processing and related documentation
- Support accounts payable (AP) functions, including:
- Entering invoices
- Verifying supporting documentation
- Coordinating approvals
- Support accounts receivable (AR) functions, including:
- Preparing and tracking invoices
- Following up on outstanding balances as directed
- Assist with basic bookkeeping tasks and recordkeeping
- Coordinate with ownership and/or external accounting partners
- Maintain confidentiality and accuracy with all financial information
Note: This role is not intended to replace a CPA or controller function, but rather to support day-to-day financial operations.
3. Construction & Project Administration Support
- Assist with bids and bid-day activities, including document preparation and coordination
- Help prepare and distribute contracts, subcontractor agreements, and purchase orders
- Track and organize submittals, shop drawings, and approvals
- Assist with document control for project files (plans, specifications, revisions)
- Support project managers with:
- Meeting minutes
- RFIs (Requests for Information)
- Change order documentation
- Communicate with subcontractors and vendors as directed
- Help ensure project documentation is complete, organized, and up to date
Desired Skills & Qualifications
- Strong organizational and time-management skills
- High attention to detail and accuracy
- Comfortable handling multiple priorities and shifting tasks
- Professional communication skills (phone, email, in-person)
- Basic computer proficiency (Microsoft Office, email, document management systems)
- Prior experience in office administration, accounting support, or construction administration is a plus, but not required
- Ability to maintain discretion and confidentiality
- Self-motivated, dependable, and proactive
