Part Time Parish Administrator

Job Overview
We are seeking a dedicated and organized Part Time Parish Administrator to support the daily operations of our faith community. The Parish Administrator is responsible for managing the general operation of the Parish Office: the facility, office equipment, communications public interface and other projects as assigned. The Parish Administrator reports directly to the Wardens and Treasurer and assists them as directed.

Duties

  • Inventory and order office supplies as needed and coordinate with service vendors to maintain office equipment.
  • Answer the telephone and provide callers with specific answers or guidance as required.
  • Prepare, proofread, produce, and collate weekly bulletins for Sunday and Holy Day services, memorials, baptisms, weddings, and funerals within a reasonable time before such services.
  • Prepare baptismal, confirmation, and wedding certificates and letters of transfer as needed.
  • Maintain and publish the Parish Calendar listing key dates. Communicate with the Wardens and parish about any changes.
  • Send out weekly announcements through Constant Contact. The announcement shall include:
  • articles from various contributors in the parish, the calendar of events for the coming weeks,
  • the names of all who will assist in the coming Sunday’s worship,
  • the Zoom link
  • and links to the service bulletins for Sunday worship,
  • Notify the wider community of parish events via the parish’s social media sites.
  • Directly assist with the production and collation of the Annual Parish Report
  • Maintain accurate and timely Parish Records including a member database and contact and mailing lists.
  • Work with community groups or individuals who rent the hall or other space in the church to coordinate schedules and clarify the expectations that St. Dunstan’s has for renters to follow.
  • Communicate with the Buildings and Grounds Committee to advise them of the status of cleaning, pest control, and maintenance services schedule.
  • Provide clerical and administrative support to the Wardens, Vestry, Treasurer, Altar Guild and Committees of the Vestry.
  • Ensure that the Parochial Report (with input from the Wardens and Treasurer) is completed on time and sent to the Diocese and the National Church.
  • Become familiar with the diocesan website and diocesan procedures, including registration for the Annual Diocesan Convention and other conferences and training sessions.
  • Complete Safe Church Practices Training which will be provided or show proof of having recently completed such training.
  • Tacking the status of Safe Church Practices Training for other church leaders and members.

Professional Qualificational/Skills Necessary:

  • Responsible, punctual, and able to work with minimal supervision prioritizing tasks, and displaying excellent time management.
  • Computer proficiency with working knowledge of Microsoft Office, photo and graphic files for print, and web and image editing skills.
  • Good digital communication skills, comfortable navigating the internet, a basic understanding of website structure and browser function.
  • Orderly organization of workspace, file cabinets, and digital files with everything clearly labeled
  • Accuracy when proofreading documents, and diligent in making final edits.
  • Responsive, clear, and thorough when communicating messages, ordering information, and responding to requests from Parish members, volunteers, vendors, and Vestry members by telephone, text, email, in writing or in person.
