Part Time Payroll Administrator

Job Summary
We are seeking a dedicated, detail-oriented and experienced Payroll Administrator to join our growing remote team. This role is ideal for a payroll professional who thrives in a fast-paced environment managing payroll for multiple clients across various industries. In this role, you will be responsible for managing payroll processes efficiently and accurately, ensuring timely compensation for employees while maintaining compliance with all relevant regulations. Your expertise in payroll management software and accounting principles will help streamline payroll operations and support our human resources and finance teams. The ideal candidate will have hands-on experience with payroll processing, payroll tax compliance, workers’ compensation audits, and multi-state employer registrations. Responsibilities

  • Process payroll transactions for multiple clients accurately using payroll software such as Gusto, Paychex, ADP, SurePayroll or Guardian Payroll, ensuring all employee data is up-to-date.
  • Perform data entry tasks related to employee hours, benefits, tax information, and deductions with precision and attention to detail.
  • Reconcile payroll accounts through general ledger accounting practices, including journal entries, account reconciliation, and double-entry bookkeeping.
  • Administer employee benefits programs and assist with benefits administration tasks related to payroll.
  • Set up new state employer payroll and unemployment accounts
  • Maintain compliance with federal, state, and local payroll regulations by staying current on tax laws and reporting requirements.
  • Support accounts payable and receivable functions by processing payments related to payroll taxes, garnishments, or other deductions.
  • Generate reports on payroll activities, analyze data for discrepancies or errors, and recommend process improvements to enhance efficiency.
  • Coordinate and complete workers’ compensation audits
  • Process employee onboarding, terminations, garnishments, and benefit deductions
  • Assist with quarterly and year-end payroll filings including W-2s and 1099s
  • Maintain confidentiality and accuracy of sensitive payroll information
  • Communicate professionally with clients and internal team members regarding payroll matters

Requirements

  • 5+ Multi Client Experience
  • 7+ years remote work experience
  • 7+ years of payroll administration experience, preferably in a multi-client environment
  • Quickbooks Pro Certification
  • Proficiency in Gusto, SurePayroll, ADP, and Guardian Payroll
  • Knowledge of HRIS (Human Resources Information System) platforms and governmental accounting standards.
  • Experience entering payroll journal entries into accounting systems such as QuickBooks
  • Knowledge of payroll tax regulations and multi-state payroll requirements
  • Experience setting up new state employer accounts
  • Experience managing workers’ compensation audits
  • Strong attention to detail and organizational skills
  • Excellent time management and multi-tasking skills.
  • Excellent data entry skills with high accuracy; proficiency in 10 key typing is preferred.
  • Solid understanding of financial concepts including debits & credits, journal entries, general ledger reconciliation, and account reconciliation.
  • Ability to analyze complex data sets and identify discrepancies or errors efficiently.
  • Strong organizational skills with the ability to handle multiple tasks simultaneously in a fast-paced environment.
  • Effective communication skills to collaborate with HR and finance teams effectively.
  • Ability to work independently and manage multiple deadlines in a remote environment while knowing when to escalate issues and ask questions.
  • Willingness to take on new and unfamiliar tasks.
  • Team player with a can do attitude a must!
