Part-Time Personal Assistant-Office Manager medical office

Specialty Medical Practice | Hybrid (In-Office + Remote) | Flexible Hours

Are you the kind of person who walks into a complicated situation and immediately

starts solving problems? Do you thrive wearing many hats, genuinely love people, and

bring both warmth and professionalism to everything you do? If so, we’d love to meet

you.

We are a small, single-physician specialty medical practice focused on weight

management and metabolic health, located in a vibrant university town. Our tight-knit

team of one physician and one to two medical assistants — many of whom are

graduate students passing through on their way to great careers — punches well above

its weight. We’re looking for an exceptional part-time team member to serve as the

operational and organizational backbone of our office, someone who can work both on-

site and from home, and who is looking for a long-term home, not a stepping stone. We

hope to find someone who will grow with us for five to ten years.

This role is especially well suited to someone in a life stage where flexible, meaningful

part-time work is exactly what they’re looking for — perhaps a retired professional who

misses the workplace but not the grind, or someone whose life circumstances have

opened up and who wants to re-engage professionally without the demands of a full-

time position.

What You’ll Do

You’ll be the physician’s right hand and our go-to problem solver across every corner of

the practice. On any given day that might mean training a new staff member, processing

prior authorization paperwork so a patient can afford their medication, following up with

someone we haven’t seen in a while, or covering the front desk when we’re short-

staffed.

You’ll manage inventory for our medications, vitamins, and protein supplements, handle

membership billing, and help drive our marketing efforts — including crafting monthly

newsletters and engaging prospective patients in meaningful conversations about the

value of our care.

Because we are a cash-pay practice that does not bill insurance, one of your most

important contributions will be helping new patients understand why investing directly in

their health with us is worth it. You’ll need to believe in what we do — and communicate

that belief with confidence and compassion.

You’ll also take the lead on hiring and onboarding new office staff. In our university

community, that means regularly welcoming talented students from medical, dental,

veterinary, law, and other graduate programs, and keeping that pipeline running

smoothly as staff come and go.

As you settle in, you’ll grow into additional responsibilities including ordering our

supplement and protein product lines and shaping our broader marketing approach. A

significant portion of this work can be done remotely, making it a genuinely flexible

opportunity.

What We’re Looking For

You bring prior experience in a medical, dental, veterinary, hospital, or institutional office

setting. You’re organized and reliable, but also flexible and unflappable when things

don’t go as planned. You communicate professionally in writing and warmly in person.

Most importantly, you genuinely care about people — and ideally, you have your own

personal experience navigating weight challenges, because our patients will feel that

understanding the moment they meet you. Involvement in our Obesity Action Coalition

support group is a welcome bonus for the right person.

We’ll be straightforward with you: as a small independent practice, we aren’t able to

compete with large employers on base salary, and this is a part-time role. What we can

promise is that we will pay you the best we can afford, and as you grow with us, we

want to reward that loyalty — including the potential for profit sharing and bonuses tied

to the growth of the practice, such as for each new patient you help bring through our

doors. We’re looking for a partner, not just an employee.

A Note About Our Office

We share our workspace with friendly support dogs, who are a beloved part of our

practice culture. If you have dog allergies or are uncomfortable around dogs, this may

not be the right fit — and we appreciate you keeping that in mind before applying.
