Overview
We are seeking a dedicated and professional Part time Receptionist/Assistant to join our team. We will need someone every Tuesday, Wednesday and Thursday Working 9-5 in office with a paid 30 minute lunch. Twice a month we have paid lunches that you’re welcome to come and eat with the staff. This is a shared job with someone else who covers mondays and fridays. This job is to greet clients as they come into the office, answer phones and schedule appointments, manage the computer with our online email contacts. You are the first person people see at Herriman Counseling Swervices.
Responsibilities
- Greet and assist clients and visitors in a courteous manner, ensuring a positive first impression.
- Manage incoming calls, emails, and correspondence.
- Be able to learn our program Simple Practice platform which is used for all of our scheduling in the office for appointments, paperwork, communication.
- Be able to to communicate with the team who needs clients, and who is full with their schedule so we can manage their calendars and help them stay full.
- Problem solve any issues that come forward, be able to provide full support to the client by reaching out to other staff for help in problem solving.
- Provide administrative support including data entry, document preparation, and clerical tasks.
- Assist with customer support inquiries, addressing concerns promptly and professionally.
- Ensure the reception area is tidy and presentable at all times.
- Collaborate with team members to enhance office efficiency and workflow.
- Run occasional errands needed for owner (pick up monthly lunches for staff, help with set ups for meetings).
Qualifications
- Computer proficiency
- Excel and google suite experience
- Typing skills required
- Previous scheduling experience for busy office
- Previous EHR experience (simple practice) - preferred but not manditory
- Strong customer service skills with the ability to communicate effectively with diverse individuals.
- Excellent organizational skills with keen attention to detail.
- Ability to handle clerical tasks efficiently while maintaining confidentiality.
- A proactive attitude towards problem-solving and willingness to learn new skills.

- Willing to learn and take feedback. This is not a difficult job BUT requires attention to detail.
