Position Summary
We are seeking a highly organized and proactive Part-Time Scheduler to coordinate daily cleaning appointments, manage routes, and ensure smooth communication between clients and cleaning staff. This role is essential in keeping our operations running efficiently and maintaining high customer satisfaction.
Key Responsibilities
Scheduling & Route Management
- Schedule recurring and one-time commercial cleanings
- Optimize daily routes to minimize driving time and maximize efficiency
- Adjust schedules due to cancellations, add-ons, staff callouts, or emergencies
- Confirm appointments with clients via phone, text, or email
Team Coordination
- Communicate daily schedules to cleaning technicians
- Ensure proper staffing levels for each job
- Notify team members of changes in real-time
- Coordinate key pickups, alarm codes, and access instructions
Client Communication
- Respond to client inquiries in a professional and friendly manner
- Handle rescheduling requests and service adjustments
- Maintain accurate client notes and service preferences
- Support customer retention through clear and timely communication
Administrative Support
- Maintain scheduling software/CRM system
- Track cancellations and fill open time slots
- Assist with invoicing support or follow-ups as needed
- Help monitor productivity and completion times
Qualifications
- Previous experience in scheduling, dispatching, or office administration preferred
- Experience in a cleaning or service-based industry is a plus
- Strong organizational and multitasking skills
- Excellent communication skills
- Comfortable using scheduling software and Microsoft Office
- Ability to work independently and make quick decisions
