Part-Time Secretary / All‑Around Assistant

We are seeking a dynamic and organized Part-Time Secretary / All‑Around Assistant to join our team! Duties

  • Answer multi-line phone systems promptly and professionally, providing excellent customer service and support
  • Manage front desk responsibilities, greeting visitors and directing them appropriately
  • Perform data entry and maintain accurate filing systems to ensure easy retrieval of documents
  • Use Microsoft Office and Google Workspace tools to prepare correspondence, reports, and presentations
  • Assist with calendar management, scheduling appointments, meetings, and reminders for staff or clients
  • Handle basic bookkeeping tasks using QuickBooks or similar accounting software
  • Proofread documents for accuracy and clarity before distribution or submission
  • Support office management tasks such as supply inventory, organization of files, and general clerical duties

Skills

  • Proven experience with office management, administrative support, or clerical roles
  • Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets)
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Bilingual abilities are highly valued to assist diverse client needs
  • Experience with multi-line phone systems and phone etiquette to handle calls professionally
  • Familiarity with QuickBooks for bookkeeping and data entry tasks
  • Exceptional proofreading skills to ensure error-free documents
  • Knowledge of office equipment such as fax machines, scanners, and printers
  • Strong time management skills to handle multiple responsibilities efficiently
  • Personal assistant or medical/dental receptionist experience is a plus but not required
