About the Role:

The Parts and Service Associate plays a critical role in ensuring the smooth operation of the parts and service department by efficiently managing inventory, assisting customers, and supporting service technicians. This position is responsible for accurately processing parts orders, maintaining stock levels, and providing expert advice to customers and staff regarding parts and service needs. The associate acts as a liaison between customers and the service team, facilitating communication and ensuring timely resolution of service requests. By maintaining organized records and coordinating with suppliers, the associate helps optimize workflow and minimize downtime. Ultimately, this role contributes to customer satisfaction and operational efficiency within the service department.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Basic knowledge of automotive or equipment parts and service processes.
  • Proficiency with inventory management systems and basic computer skills.
  • Strong communication and customer service skills.
  • Ability to lift and handle parts and supplies as required.

Preferred Qualifications:

  • Previous experience in a parts and service role within the automotive or equipment industry.
  • Familiarity with parts catalog software and service management systems.
  • Technical understanding of vehicle or equipment components.
  • Certification related to parts management or automotive service.
  • Ability to multitask and work effectively in a fast-paced environment.

Responsibilities:

  • Manage and maintain accurate inventory records for parts and supplies and notifies parts manager of out-of-stock parts or shop materials that need immediate attention.
  • Assist customers by identifying and locating the correct parts for their needs.
  • Process parts orders, returns, and warranty claims efficiently and accurately.
  • Sets up orders for daily shipment, delivery or pick-up.
  • Support service technicians by coordinating needed vehicle repairs as well as preparing and delivering parts required for repairs and maintenance.
  • Maintain a clean and organized parts department to facilitate easy access and inventory control.
  • Provide excellent customer service by setting up service appointments, answering inquiries and resolving issues related to parts and service.
  • Informing customers of changes in service or when their vehicle is ready to be picked up.
  • Update and maintain service and repair records and documentation in compliance with company policies to include special-order parts.
  • Follows up on back-ordered parts and replenishes assigned inventory.
  • Make sure all internal requests for parts are billed on service repair order.
  • Keeps current on new products and product updates.
  • All other duties as assigned.

Skills:

The required skills enable the associate to efficiently manage inventory systems, ensuring parts are accurately tracked and available when needed. Strong communication and customer service skills are essential for interacting with customers and service technicians, providing clear information and resolving issues promptly. Computer proficiency supports the use of inventory and service management software to process orders and maintain records. Preferred skills such as technical knowledge and familiarity with parts catalog software enhance the associate's ability to identify the correct parts quickly and support complex service requests. Together, these skills ensure the associate contributes to a well-organized, responsive, and customer-focused parts and service department.
