Parts & Service Coordinator

Job Summary

We are looking for a highly organized and customer-focused Parts & Service Coordinator to manage day-to-day shop operations. This role is ideal for someone who enjoys staying organized, helping customers, and keeping systems running smoothly. You’ll be the central point of communication between customers and the shop, ensuring inventory is tracked, services are scheduled efficiently, and every customer interaction is handled with professionalism and care.

Responsibilities

• Maintain accurate inventory records and ensure parts are properly stocked and organized
• Assist customers in person by selling parts and completing transactions
• Answer incoming calls, schedule service appointments, and clearly communicate repair needs
• Create and manage invoices while processing payments accurately
• Handle and balance a cash drawer with accountability
• Coordinate communication between customers and service technicians
• Track expenses and generate weekly reports
• Keep the shop office organized and running efficiently
• Deliver a high level of customer service with every interaction

Experience

• Proven experience in supply chain management within automotive, manufacturing, or dealership environments
• Strong background in supplier management, procurement management, and negotiation skills
• Hands-on experience with warehouse operations including shipping & receiving, sourcing parts, and inventory control
• Prior exposure to logistics coordination, demand planning or sourcing within an OEM (Original Equipment Manufacturer) setting preferred
• Excellent data entry skills along with attention to detail for maintaining accurate records in order management systems
• Strong customer service orientation combined with effective communication skills to liaise between suppliers, technicians, and customers
