Pastor 's Administrative Assistant

Job Overview
We are seeking a highly organized and compassionate Pastor’s Administrative Assistant to serve as the vital support for our Pastor. This energetic role involves managing daily office operations, coordinating schedules, handling correspondence, and providing exceptional customer service to congregation members and visitors alike. The ideal candidate will bring a positive attitude, strong organizational skills, and proficiency in office management tools to ensure the smooth functioning of our church community. Responsibilities

  • Manage the Pastor’s calendar, appointments, and event schedules with precision and proactive planning
  • Serve as the first point of contact to the Pastor, greeting visitors warmly and addressing inquiries efficiently
  • Operate multi-line phone systems with professionalism, practicing excellent phone etiquette and providing prompt assistance
  • Handle correspondence via email, phone calls, and postal mail, ensuring timely responses and proper documentation
  • Maintain accurate records through data entry, filing, proofreading, and updating church databases using Microsoft Office, Google Workspace, and other relevant software
  • Support office management tasks such as bookkeeping using QuickBooks or similar accounting tools, managing invoices and donations
  • Assist with all of the Pastor's special projects including event planning, community outreach coordination, and volunteer scheduling

Requirements

  • Proven office experience with strong clerical skills including filing, data entry, and document proofreading
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic bookkeeping software like QuickBooks
  • Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Strong customer service orientation with courteous phone etiquette and the ability to handle sensitive and personal situations discreetly
  • Bilingual abilities are a bonus, but not mandatory to serve diverse community members effectively
  • Experience and familiarity with calendar management and personal assistant tasks is beneficial
  • Demonstrated time management skills with the ability to multitask efficiently while maintaining attention to detail
  • Personal assistant experience or previous church administrative roles will be considered an asset
