Patient Access & Revenue Cycle Coordinator

At Mary Tilak & Associates, we are building an advanced primary care model that combines compassionate care, operational discipline, and intelligent use of data to improve patient outcomes.

We are seeking a highly organized and proactive Patient Access & Revenue Cycle Coordinator to help optimize provider schedules, directly contact patients to fill open appointment slots, and ensure that every clinical encounter is accurately reconciled from appointment to claim.

This is a hands-on role for someone who enjoys working with patients, solving operational problems, and helping ensure the financial integrity of our practice.

Key Responsibilities

Patient Access & Schedule Optimization

  • Monitor provider schedules daily for cancellations and open appointment slots
  • Contact patients directly by phone and text to fill openings
  • Manage waitlists and improve schedule utilization
  • Schedule Annual Wellness Visits and other high-value preventive and chronic care appointments
  • Help maintain provider utilization targets of 90–95%

Revenue Cycle Reconciliation

  • Reconcile completed office visits, diagnostic studies, and other services to submitted claims
  • Identify missing charges, incomplete documentation, and billing gaps
  • Coordinate with the billing team to ensure timely and accurate claim submission

Reporting & Data Tracking

  • Run reports from eClinicalWorks (ECW)
  • Use Google Sheets and Microsoft Excel to track utilization, no-shows, collections, and reconciliation metrics
  • Maintain dashboards and support operational decision-making

Panel-Driven Patient Outreach

  • Work with Panel Management to conduct targeted outreach to patients due for Annual Wellness Visits, chronic disease follow-up, and other preventive services
  • Use EMR reports, Aledade quality gap lists, and internal dashboards to identify patients needing appointments
  • Contact patients by phone and text to schedule appropriate visits
  • Support population health initiatives by helping close care gaps and improve patient engagement

Front-End Revenue Optimization

  • Work closely with the pre-registration and registration teams to optimize insurance verification, demographic accuracy, and identification of patient balances prior to visits
  • Support workflows for point-of-service collections, credit card on file, and digital payment tools such as Healow Check-In and Pay

Qualifications

  • Experience in medical scheduling, patient access, healthcare operations, or revenue cycle management
  • Working knowledge of CPT, ICD-10, and insurance processes
  • Strong proficiency in Google Sheets and Microsoft Excel
  • Ability to run and interpret reports from eClinicalWorks
  • Excellent communication and organizational skills
  • Detail-oriented with a strong sense of accountability
