Patient Access Supervisor

Position Summary

The Patient Access Team Supervisor is responsible for overseeing daily operations of the front desk and patient access functions at both the Olive and Dellwood clinic locations. This role is integral to ensuring that patients are welcomed with compassion, scheduled efficiently, and supported throughout their care journey. The supervisor will lead a team of medical receptionists and patient access staff, ensuring compliance with ARCA policies and high standards of customer service.

Key Responsibilities

  • Supervise, train, and mentor front desk staff and patient access team members across two clinic locations.
  • Monitor daily workflow to ensure efficient and timely registration, check-in, scheduling, and insurance verification.
  • Handle escalated patient concerns with professionalism and empathy.
  • Maintain accurate documentation and compliance with HIPAA and other regulatory guidelines.
  • Collaborate with clinical, billing, and administrative teams to ensure a seamless patient experience.
  • Assist in the development and implementation of standard operating procedures and front desk workflows.
  • Evaluate team performance and provide ongoing coaching and feedback.
  • Support onboarding and training of new team members.
  • Track and report patient access metrics and make recommendations for process improvements.

Qualifications

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Healthcare Administration or a related field preferred.
  • Minimum of 2 years of experience in medical reception, patient access, or front office coordination in a healthcare setting.
  • At least 1 year of supervisory or lead experience preferred.
  • Strong interpersonal and communication skills with a patient-centered mindset.
  • Proficiency in electronic health record (EHR) systems and scheduling software; familiarity with Carelogic is a plus.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
