Patient Admin Specialist

Job Summary
We are seeking a dedicated and detail-oriented Patient Admin Specialist to join our healthcare team. In this vital role, you will serve as the first point of contact for patients, providing exceptional administrative support to ensure smooth clinic operations. Your responsibilities will include managing patient appointments, verifying insurance coverage, handling medical billing and collections, and maintaining accurate medical records within various Electronic Health Record (EHR) systems. Your proactive approach and excellent communication skills will help create a welcoming environment for patients while ensuring compliance with healthcare regulations such as HIPAA. Duties

  • Schedule and coordinate patient appointments using EMR (Electronic Medical Record) systems such as Epic, Meditech, or Athenahealth, ensuring optimal clinic flow
  • Verify insurance coverage, process claims, and follow up on medical collections to maximize revenue recovery
  • Review and update patient documentation, ensuring accuracy and completeness in compliance with HIPAA regulations
  • Assist patients with intake procedures, including collecting medical history and explaining clinic policies
  • Manage medical billing processes, including CPT coding, ICD-9/10 coding, and Medicare claims submissions
  • Maintain organized medical records by filing physical documents and updating electronic files in systems like eClinicalWorks or Dentrix
  • Provide front desk support by answering multi-line phone systems with professional phone etiquette and assisting with patient inquiries
  • Support office management tasks such as appointment reminders, patient check-in/out, and handling office correspondence
  • Collaborate with clinical staff to ensure accurate documentation review and care plan updates
  • Utilize computer skills to operate office equipment like 10-key typing devices and Microsoft Office applications efficiently

Skills

  • Strong knowledge of medical collection procedures and billing practices across various insurance plans including Medicare
  • Proficiency in EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix, or Eaglesoft
  • Familiarity with medical terminology, ICD-9/10 coding, CPT coding, and documentation review processes
  • Experience with health information management software and electronic health record (EHR) systems
  • Excellent customer service skills combined with professional phone etiquette and clear communication abilities
  • Ability to handle sensitive information in accordance with HIPAA guidelines while maintaining confidentiality
  • Bilingual capabilities are highly desirable to serve diverse patient populations effectively
  • Previous clinic or dental office experience is preferred to ensure familiarity with medical office procedures and dental terminology
  • Strong organizational skills for filing, record keeping, and managing multiple tasks efficiently
  • Computer literacy including proficiency in Microsoft Office Suite (Word, Excel) and office management software such as Eaglesoft or Dentrix
