Role Summary

As a Patient Care Coordinator, you are the first, last, and lasting impression of our clinic. Your role bridges administrative precision with human connection—ensuring every patient is welcomed, cared for, and set up for success in their treatment journey.

This position focuses on insurance verification, patient onboarding, appointment coordination, and billing support, as well as creating a memorable, 5-star patient experience.

Key Responsibilities

Patient Experience & Office Support

  • Greet and transition new patients into the practice with warmth and professionalism.
  • Handle multi-line phone system, answer inquiries, and manage call follow-ups.
  • Manage appointment scheduling and calendar coordination.
  • Provide quarterly services and follow-ups to maintain patient relationships.
  • Conduct clean & checks and manage patient recalls for annual evaluations.
  • Ensure office is always prepared, presentable, and fully stocked.

Insurance & Billing Coordination

  • Review each patient’s file ahead of their visit to ensure onboarding forms are completed.
  • Collect and verify insurance information prior to appointments.
  • Understand which providers are credentialed with Momentum vs. Peak network.
  • Tag patient charts accurately with the correct superbill for billing ease.
  • Organize daily billing sheets and deliver them to the billing team by end of day.

  • A person who can balance empathy and efficiency.
  • Prior experience in medical front office, insurance, or patient coordination is a plus—but we’re willing to train the right individual.
