Position Overview
We are seeking a highly motivated and personable Patient Care Coordinator to manage and convert new leads into booked appointments. This role is critical to our growth and focuses on responding to inquiries, following up with prospects, and ensuring a seamless patient booking experience.
This is not a traditional front desk position. This is a sales driven role responsible for turning marketing leads into scheduled consultations and revenue.
Key Responsibilities
Lead Management & Response
- Answer all incoming calls from prospective patients
- Respond to new leads (web forms, texts, social media) promptly
- Return missed calls and inquiries quickly (speed is critical)
Outbound Calling & Follow Up
- Proactively call new leads to schedule consultations
- Follow up with unresponsive or undecided prospects
- Maintain consistent communication via phone, SMS, and email
- Re engage older leads to generate new opportunities
Appointment Booking & Conversion
- Educate potential patients on services and treatment options
- Identify patient needs and recommend appropriate consultations
- Address questions, concerns, and objections confidently
- Convert inquiries into scheduled appointments
CRM & Pipeline Management
- Accurately track all interactions and lead status in CRM
- Maintain organized records of communication and follow ups
- Ensure no lead is missed or left without follow up
Performance Metrics (KPIs)
- Speed to lead response
- Number of outbound calls made daily
- Lead contact rate
- Appointment booking rate
- Show rate for scheduled consultations
Qualifications
- Previous experience in sales, customer service, or call center environment preferred
- Strong communication and interpersonal skills
- Comfortable handling high call volume and follow ups
- Organized, detail oriented, and able to multitask
- Self motivated with a results driven mindset
- Experience in a medical spa, aesthetics, or healthcare setting is a plus (not required)

Pay: $20.00 per hour
