Patient Care Coordinator/Front Office Admin

This Isn’t Just a Front Desk Job; It’s a Critical Role in Patient Care, Practice Flow, and Helping People Feel Seen and Supported.

Whether a patient is calling for the first time or checking in for their tenth visit, you’re the voice who makes them feel welcomed, remembered, and supported.

At Principal Physical Therapy, that voice could be yours.

We’re looking for a Patient Care Coordinator who brings warmth, focus, and compassion to every interaction. Someone who doesn’t just schedule appointments, but creates calm in the middle of confusion. Someone who doesn’t just answer phones, but becomes the reason patients stay the course.

This role isn’t about punching the clock. It’s about being the heart of a clinic that believes in human connection, clear communication, and care that starts before the first visit.

Why This Role Matters

You’ll be the first impression, and the lasting one.

From that first nervous call to the final check-out, you’ll guide patients through every step of their healing journey. You’ll be the voice that explains what’s next, the presence that makes them feel seen, and the reason they trust that this place is different.

Principal Physical Therapy is opening a new location in Park Slope, and our team runs on collaboration, communication, and compassion. If you love solving problems, bringing order to busy days, and making people feel supported, you belong here.

What You’ll Do: New Patient Conversions and Scheduling

  • Convert incoming leads and referrals into scheduled evaluations
  • Respond quickly and warmly to incoming leads and questions
  • Build a strong, steady schedule that supports full plan-of-care completion

Insurance and Financial Coordination

  • Verify insurance benefits and obtain authorizations
  • Explain coverage, deductibles, copays, and financial responsibility with clarity and kindness
  • Collect payments at check-in and check-out with professionalism

  • Maintain complete and organized electronic charts
  • Send timely updates and documentation to referring physicians and case managers

Front Office Operations

  • Welcome and check in patients while creating a calm and efficient front desk
  • Monitor the schedule and communicate with the clinical team throughout the day
  • Follow up with patients to reduce cancellations and improve compliance

You’re a Great Fit If You:

  • Have 1+ years of front desk, admin, or patient care experience in a healthcare setting
  • Communicate with clarity, kindness, and confidence, especially by phone
  • Are comfortable discussing insurance, pricing, and patient financial responsibility
  • Know your way around insurance verification, scheduling, and EMRs
  • Can juggle multiple priorities without losing your cool
  • Love solving problems and making systems run smoothly
  • Want a job that feels like part mission, part teamwork, and part logistics
