About The Role

This is not a traditional receptionist role.

You will act as a Patient Concierge & Lead Conversion Specialist , responsible for managing inbound calls, online inquiries, and follow-ups—guiding prospective patients into booked appointments while delivering an exceptional, white-glove experience.

This role is fully remote but operates on New York business hours (8:30 AM – 5:00 PM EST).

Responsibilities

  • Answer all inbound calls in real time with a polished, professional tone
  • Respond to web inquiries, texts, and missed calls within 5 minutes
  • Convert new patient inquiries into scheduled appointments
  • Perform proactive follow-ups on:
    • Missed calls
    • Unscheduled leads
    • No-shows and cancellations
  • Educate patients on services and guide them to the most appropriate care
  • Maintain accurate documentation in NexHealth
  • Deliver a luxury-level, concierge patient experienceon every interaction
What We're Looking For

  • Experience in:
    • Medical office, med spa, aesthetics, or concierge hospitality
    • OR high-performing call center / sales environment
  • Strong phone presence (confident, warm, articulate)
  • Proven ability to convert inquiries into booked appointments
  • Highly responsive and organized
  • Comfortable working in a performance-driven, metrics-based role
  • Experience with CRM/scheduling systems preferred
Performance Expectations (KPI's)

  • Response time to new leads: under 5 minutes
  • High call answer rate during shift
  • Lead-to-booking conversion rate
  • Daily booking volume
  • Follow-up conversion success

Compensation

  • Base Pay: $20–$25/hour (based on experience)
  • Performance Bonuses:
    • Per-booking incentives
    • Monthly performance bonuses based on booking volume
    • Top performers have the ability to significantly increase earnings through performance-based incentives.

    Schedule

    • Monday–Friday
    • 8:30 AM – 5:00 PM (EST)
    • Fully remote (must have a quiet, professional work environment)
