Dr. Nishita’s Clinic for Skin, Hair & Aesthetics is a premium, dermatologist-led practice focused on evidence-based clinical dermatology and advanced aesthetic treatments. We cater to patients across age groups and maintain a structured, professional, and high-performance environment.

We are looking for a disciplined, confident, and revenue-aware Patient Coordination Executive who can manage tele-calling, scheduling, and front desk operations seamlessly.

Role Overview

This is a critical, multi-functional role responsible for:

Handling all incoming and outgoing patient communication

Converting enquiries into confirmed consultations

Managing and optimizing the doctor’s schedule

Delivering a premium front desk experience

Ensuring billing accuracy and revenue protection

This is not a receptionist role.

It is a performance-driven coordination position.

Key Responsibilities

1️.Tele-Calling & Lead Conversion

Answer incoming calls within 3 rings

Call back missed calls within 15 minutes

Convert Instagram, WhatsApp, website, and referral leads into consultations

Handle pricing objections confidently and professionally

Maintain daily call logs and follow-up list

Target: 60%+ lead conversion

2️.Appointment Scheduling & Calendar Optimization

Schedule consultations as per doctor availability

Minimize gaps in schedule

Confirm appointments 24 hours prior

Reconfirm morning appointments same day

Refill cancelled slots using waitlist

Target: 85%+ slot utilization

Target: <10% no-show rate

3. Front Desk & Patient Experience

Greet patients professionally upon arrival

Verify patient details and update EMR

Coordinate with doctor and therapists

Manage waiting area efficiently

Maintain premium communication tone at all times

4️.Billing & Documentation

Generate accurate invoices

Ensure correct treatment entries

Handle payments (cash/UPI/card)

Issue receipts

Schedule follow-up before patient leaves

Zero tolerance for billing errors.

5️. Reporting & Accountability

Submit daily performance report

Track cancellations and repeat no-shows

Escalate VIP patients or complaints immediately

Maintain patient confidentiality

Required Skills

Fluent in English, Hindi, and Telugu

Strong communication and persuasion skills

Organized and detail-oriented

Basic knowledge of dermatology/aesthetic treatments preferred

Experience with EMR or scheduling software

Calm under pressure

Work Timings

Shift-based structure:

09:00 – 18:30

09:30 – 19:00

10:00 – 19:30

Late beyond 10 minutes: ₹100 penalty as per clinic policy.

Compensation Structure

Fixed Salary: ₹18,000 – ₹25,000
