We are seeking a licensed, growth-minded aesthetics professional who is excited not only to provide excellent treatments, but also to help build and grow the aesthetics side of our business.
This is not a typical aesthetician role for someone who simply wants to walk into a fully built schedule and perform treatments. We are looking for someone who is entrepreneurial, polished, proactive, confident on camera, comfortable educating patients, and motivated to help grow a developing service line into something much stronger.
Position Summary
The Patient Experience Coordinator / Medical Assistant-Certified (MA-C) is a hybrid role responsible for delivering an exceptional patient experience while supporting both front desk operations and clinical medical assisting functions.
This position serves as a key point of contact for patients and plays an essential role in creating a welcoming, professional, organized, and efficient clinic environment. The role combines concierge-level patient service, scheduling and administrative coordination, and hands-on clinical support for providers.
The ideal candidate is polished, reliable, warm, organized, and confident in both patient-facing administrative work and clinical duties. This individual must be able to transition smoothly between front desk responsibilities and medical assisting responsibilities while maintaining strong attention to detail, professionalism, and compliance.
Essential Duties and Responsibilities1. Patient Experience & Front Desk Operations
- Greet patients in a professional, warm, and welcoming manner
- Create a positive first impression for every patient and visitor
- Manage patient check-in and check-out processes
- Collect payments and ensure financial transactions are accurate
- Maintain a clean, organized, and professional reception area
- Complete daily opening and closing procedures
- Maintain patient confidentiality in accordance with HIPAA regulations
- Request online reviews from satisfied patients when appropriate
- Help ensure the clinic environment reflects a concierge-level standard of care
2. Scheduling & Communication
- Schedule patient appointments according to provider guidelines and clinic protocols
- Ensure scheduling accuracy and help prevent booking conflicts
- Manage appointment confirmations, cancellations, and rescheduling
- Answer and triage incoming phone calls professionally
- Respond promptly to patient messages and communications
- Communicate clearly and effectively with patients, providers, and team members
- Help support smooth daily patient flow across front desk and clinical operations
3. Administrative Support
- Maintain accurate patient records within the EHR system
- Support routine administrative documentation and record organization
- Maintain compliance with clinic policies and regulatory standards
- Ensure workspaces remain organized, clean, and professional
- Assist team members as needed to support smooth clinic operations
4. Clinical Medical Assisting Duties
- Escort and room patients efficiently and professionally
- Obtain and document weight, vital signs, and other relevant intake information
- Prepare patients for provider visits, examinations, procedures, and treatments
- Perform venipuncture and blood draws
- Perform therapeutic phlebotomies as directed and permitted by clinic protocols and supervising provider delegation
- Administer injections and medications as delegated and permitted within scope, excluding testosterone injections for this role
- Prepare medications for administration and/or dispensing in accordance with clinic workflows, policies, and delegated authority
- Assist providers with in-office procedures and treatments
- Provide patient education and reinforce provider instructions within scope
- Collect, label, and handle specimens appropriately
- Clean, disinfect, stock, and organize exam rooms and clinical workspaces
- Prepare, sterilize, and maintain instruments and medical equipment
- Operate and maintain sterilization equipment, including autoclaves
- Follow infection control standards, universal precautions, OSHA-related safety practices, and clinic protocols
- Help monitor clinical inventory and notify appropriate team members when supplies need restocking

QualificationsRequired
- Active Washington State Medical Assistant-Certified (MA-C) credential in good standing
- Current CPR/BLS certification
- Minimum 1 year of experience in a clinical, outpatient, or healthcare setting
- Strong verbal and written communication skills
- High attention to detail and strong organizational ability
- Ability to multitask in a structured clinical environment
- Demonstrated reliability, professionalism, and strong work ethic
- Ability to perform front desk, administrative, and clinical duties with consistency and professionalism
- Comfort with venipuncture, injections, rooming, specimen handling, and clinical support tasks
Preferred
- Experience in a concierge, wellness, hormone, regenerative medicine, or specialty clinic setting
- Familiarity with EHR and practice management systems
- Experience with medication preparation, inventory support, sterilization workflows, and procedure support
- Experience with therapeutic phlebotomy
- Experience working with high-expectation clientele
- Bilingual skills are a plus
Scope and Compliance Expectations
This role must be performed in compliance with all applicable Washington credentialing, delegation, scope-of-practice, privacy, safety, and clinic policy requirements.
The employee must maintain an active Washington MA-C credential and perform only those clinical duties that are permitted for the credential and appropriately delegated or supervised under clinic policy and applicable law. Washington DOH specifically directs MA-Cs to the authorized duties in state law and medication-administration rules in WAC 246-827-0240.
Additional Expectations
This position may require flexibility in task assignments as clinic operations evolve. The employee may be assigned additional duties reasonably related to the position to support clinic operations.
This is a hybrid role. The ideal candidate is someone who is equally willing to help at the front desk, support patient experience, and step confidently into clinical medical assisting responsibilities as needed.
