Patient Registration Clerk

Job Summary
We are seeking a dynamic and detail-oriented Patient Registration Clerk to join our healthcare team. In this vital role, you will serve as the first point of contact for patients, ensuring a smooth and welcoming registration process. Your energetic approach and excellent organizational skills will help facilitate accurate data collection, insurance verification, and efficient management of patient information within our electronic health record (EHR) systems. This position offers an exciting opportunity to contribute to high-quality patient care by providing exceptional administrative support in a fast-paced medical environment.

Duties

  • Greet patients warmly and assist with the check-in process using various EMR (Electronic Medical Record) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, and others
  • Collect and verify patient demographic information, insurance details, and medical history accurately and efficiently
  • Review documentation for completeness and correctness, ensuring compliance with HIPAA regulations and other privacy standards
  • Verify insurance coverage, perform insurance eligibility checks, and handle insurance verification processes including Medicare and Medicaid
  • Schedule patient appointments using medical scheduling software like Eaglesoft or Dentrix, coordinating with clinical staff as needed
  • Maintain organized medical records and ensure proper filing of paper documents and digital files in accordance with health information management protocols
  • Assist patients with intake procedures, including collecting co-pays, explaining clinic policies, and providing directions within the facility
  • Handle multi-line phone systems with professional phone etiquette to answer inquiries promptly and direct calls appropriately
  • Support billing processes by assisting with medical collection efforts and basic medical billing tasks involving CPT coding, ICD-9/10 coding, and documentation review
  • Maintain a clean and organized front desk area while managing office supplies and filing systems efficiently

Skills

  • Strong knowledge of medical terminology, ICD-9/10 coding, CPT coding, and insurance billing procedures
  • Proficiency in EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar platforms
  • Experience with medical collection processes and healthcare documentation review
  • Excellent computer skills including Microsoft Office Suite (Word, Excel) and familiarity with office management software like Eaglesoft or Dentrix
  • Bilingual abilities are highly desirable to better serve diverse patient populations
  • Prior clinic or dental office experience is preferred to ensure familiarity with healthcare workflows
  • Exceptional customer service skills combined with professional phone etiquette and active listening abilities
  • Ability to handle sensitive patient information in compliance with HIPAA regulations confidently
  • Strong organizational skills for managing multiple tasks such as filing, data entry (including 10 key typing), appointment scheduling, and record keeping
  • Effective communication skills for collaborating with clinical staff and interacting positively with patients during intake processes
