Payroll Administrator/Accounting Assistant

PAYROLL ADMINISTRATOR / ACCOUNTING ASSISTANT

James W Flett Co. Inc. is a Union Construction Company in Belmont, MA seeking a Full-Time Payroll Administrator/Accounting Assistant. We are looking for a Team player to be part of our Company.

The primary Responsibility of the Payroll Administrator is to process the Weekly Payroll and assist the Accounting Department with all aspects of Payroll reporting. In addition, the position would include other duties that may be assigned for Audits or special projects.

Work Schedule 40 hours a week Monday through Friday

Responsibilities

Organize and maintain all Payroll Records and Supporting Documentation

Prepare and process our weekly payroll using ADP Workforce Now.

Weekly Contact with Project foreman to obtain correct timesheet hours submitted via Heavy Job

Data Entry of new hires, employee wage changes, benefits, garnishments etc. into ADP System.

Research employee payroll inquiries in a timely manner.

Complete Employment verifications and Unemployment Wage Requests in a timely manner.

Work with the Commonwealth of Mass and Employees who have requested Paid Family Medical Leave

Reconcile 401K Plan and updates on a weekly Basis and perform a Yearly Audit of 401K Plan.

Preparation of Monthly Union Reports to Mass Laborers and Local 4

Assist with Yearly WC and GL Audits

Issue Yearly 1099’s

Preparations of all Payroll Reports needed and assistance with Payroll Related Audits

Manage Semi-Annual Union rate increases.

Help and support to all company personnel to resolve any payroll discrepancies.

Support year end Reporting of W-2 and ACA reporting.

Ability to Master our ADP System to work more efficiently and produce needed reports.

Assist with Special Projects if requested.

Eagerness to Learn the payroll system and offer improvement ideas.

Qualifications

Experience in Payroll, Accounting, or a similar role

Knowledge Payroll Software ADP Workforce Now is a plus.

Construction Payroll Experience helpful

Ability to work independently.

Strong attention to Detail and Organizational Skills

Good math, written and verbal communication skills.

Proficient in Microsoft Word, Excel, and Outlook

Ability to meet weekly payroll deadlines.

Ability to troubleshoot and identify discrepancies and recommend practical solutions.

Working Knowledge of Payroll Procedures and laws

Familiarity with Prevailing wage is helpful.

Knowledge of Payroll Software is Beneficial

Discretion required when working with Personal information.
