Payroll & Benefits Manager

The Jan Companies is a multi-state restaurant, hospitality, and real estate organization seeking an experienced and detail-oriented Payroll & Benefits Manager to join our team. This role is responsible for overseeing the day-to-day administration of payroll and employee benefits across multiple entities and locations, ensuring accuracy, compliance, and exceptional employee support.

Key Responsibilities

Payroll Administration

  • Process accurate and timely weekly and bi-weekly payrolls for salaried and hourly employees across multiple companies and states.
  • Maintain payroll systems and employee records including:
  • new hires
  • terminations
  • pay rate changes
  • direct deposits
  • garnishments
  • tax withholdings
  • benefit deductions
  • PTO tracking and other payroll-related updates
  • Reconcile payroll and timekeeping systems to ensure accuracy and financial integrity of payroll processing.
  • Ensure compliance with federal, state, and local wage and hour laws, including FLSA requirements.
  • Review quarterly payroll tax filings and assist with year-end processing, including W-2 validation and reporting.
  • Respond to employee questions regarding payroll, taxes, deductions, and benefits in a professional and customer-service-oriented manner.
  • Oversee onboarding systems and processes for all new hires across multiple entities, including documentation review, system maintenance, and security access.
  • Generate payroll, labor, and benefits reports for leadership, accounting, audits, and operational analysis.
  • Assist accounting with general ledger reporting and payroll reconciliations.
  • Process employment verifications and other payroll-related documentation requests.

Benefits Administration

  • Administer employee benefit programs including:
  • medical
  • dental
  • vision
  • life insurance
  • disability insurance
  • 401(k)
  • Manage employee enrollments, qualifying life events, terminations, and benefit deductions.
  • Coordinate and support annual open enrollment, including employee communications and enrollment processing.
  • Assist employees with disability claims, leave of absence requests, and retirement plan inquiries.
  • Ensure compliance with ACA reporting requirements, including preparation and distribution of applicable forms.
  • Reconcile benefit invoices and maintain accurate employee eligibility records.

Qualifications

  • Minimum of 5 years of payroll experience, preferably in a multi-state environment.
  • Strong understanding of payroll laws, wage and hour compliance, and benefits administration.
  • Excellent organizational, analytical, and problem-solving skills.
  • High level of accuracy and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage confidential information with discretion and professionalism.
  • Advanced proficiency in Microsoft Excel and Microsoft Office Suite.
  • Self-motivated with the ability to prioritize and manage multiple deadlines in a fast-paced environment.
  • Experience in the restaurant, hospitality, or multi-location industry preferred.
  • Experience with systems such as Paylocity, Jonas, PAR, Club Prophet, PosiTouch, or similar platforms is strongly preferred.
