Payroll Officer

Job Purpose
To ensure accurate and timely processing of employee payroll, statutory deductions, benefits, final settlements, and payroll reporting while maintaining compliance with company policies and applicable labor laws.
Key Responsibilities Payroll Processing
- Process monthly payroll for all employees accurately and within defined timelines.
- Verify attendance, leave records, overtime, incentives, deductions, and adjustments before payroll processing.
- Ensure correct calculation of salaries, allowances, bonuses, commissions, and other benefits.
- Prepare payroll summaries and payroll-related reports for management review.
Employee Records & Data Management
- Maintain and update employee payroll records in HRMS/Payroll software.
- Ensure accuracy of employee personal, banking, salary, and tax information.
- Process salary revisions, promotions, transfers, and other payroll changes.
Compliance & Deductions
- Ensure compliance with EOBI, social security, and other statutory requirements.
- Calculate and process income tax deductions and other mandatory deductions.
- Prepare documentation required for audits and regulatory inspections.
Salary Disbursement
- Coordinate with Finance and banks for salary transfers.
- Resolve payroll-related issues and discrepancies promptly.
Final Settlements
- Process full and final settlements for resigned, terminated, and retired employees.
- Calculate leave encashment, gratuity, and other applicable benefits.
Reporting & Analysis
- Prepare monthly payroll variance reports.
- Generate payroll cost analysis and headcount reports.
- Support management with payroll-related data and analytics.
Employee Support
- Address employee payroll queries professionally and confidentially.
- Issue salary certificates, employment certificates, and other payroll-related documents as required.
Qualification
- Bachelor's degree in Human Resources, Finance, Accounting, Business Administration, or a related field.
- Professional certifications in Payroll or HR will be an advantage.
Experience
- 2–3 years of relevant payroll administration experience.
- Experience handling payroll for a medium to large organization (500+ employees preferred).
Skills & Competencies
- Strong knowledge of payroll processes.
- Proficiency in Microsoft Excel (Pivot Tables, VLOOKUP/XLOOKUP, Payroll Analysis).
- Experience with HRMS and Payroll Software.
- Strong numerical and analytical skills.
- High level of confidentiality and integrity.
- Excellent communication and problem-solving skills.
- Ability to work under strict deadlines.
Key Performance Indicators (KPIs)
- Payroll accuracy rate ≥ 99.5%.
- Payroll processing completed within approved timelines.
- Zero compliance violations related to payroll.
- Timely processing of final settlements.
- Resolution of employee payroll queries within 48 hours.
- Accurate and timely payroll reporting.
- Zero unauthorized payroll adjustments.
Pay: Rs40,000.00 - Rs50,000.00 per month
