Payroll Specialist

Position Summary:

The Payroll Specialist is a key role within operational accounting, responsible for full-cycle payroll processing and related compliance reporting. This position handles employee timecards, payroll data entry, withholding information, and certified payroll reporting. The ideal candidate will have strong data entry and analytical skills, attention to detail, and a commitment to providing excellent customer service.

Essential Functions

  • Receive and process employee timecards and supervisor/foreman reports on a daily basis
  • Review and analyze payroll to ensure compliance with union contracts, prevailing wage requirements, and company policies
  • Prepare and complete prevailing wage and certified payroll reports for state and federal projects
  • Analyze payroll reports to ensure accurate withholdings, deductions, and accruals
  • Prepare and transmit employee payroll payments
  • Review subcontractor certified payroll reports for compliance with contract requirements and maintain proper documentation
  • Research and resolve payroll, timecard, and pay discrepancies in a timely manner
  • Prepare and file annual unemployment forms and other payroll-related reports as required

Position Qualifications:

  • High school diploma required, AS or advanced Degree in Accounting preferred
  • 1-2 years of general accounting experience to include payroll, accounts payable or accounts receivable
  • Strong knowledge of payroll processes; experience with union and prevailing wage contracts
  • Strong knowledge of federal and state labor laws
  • Ability to enter a large volume of data timely and accurately
  • Commitment to continuous improvement
  • Proactive nature, with a sense of urgency to handle multiple tasks and deadlines in a fast-paced, ever-changing work environment
  • Analytical focus to be able to identify trends, discover causes of variances, and identify improvement opportunities
  • Intermediate skills with standard office software (MS Excel, MS Word, MS Outlook)
  • Ability to analyze and follow detailed procedures, propose new procedures as needed
  • Excellent oral and written communication skills

Job Type: Full-time

Pay: $26.00 - $32.00 per hour
