Payroll Specialist

SUMMARY

As a Payroll Specialist, this position is responsible for managing the accurate and timely processing of employee payroll. This role involves compiling and verifying timesheets, calculating wages, ensuring compliance with relevant regulations, and distributing payroll payments.


JOB DUTIES AND RESPONSIBILITIES

  • Verify employee timesheets for accuracy and completeness.
  • Enter payroll data into systems, databases, and spreadsheets.
  • Prepare and distribute physical payroll checks when applicable.
  • Handle modifications in payroll.
  • Coordinate and process wage garnishments in compliance with legal requirements.
  • Ensure all necessary approvals and signatures are obtained for payroll release.
  • Maintain and update employee payroll records as needed.
  • Troubleshoot payroll discrepancies and resolve issues promptly.
  • Stay current on federal, state, and local payroll regulations and tax laws.
  • Performs other related duties as assigned.


REQUIRED QUALIFICATIONS

  • Education/Certification(s): High school diploma or equivalent. Must have a valid driver’s license.
  • Experience: Five (5) years of experience in payroll, accounting, or a related financial position, such as Payroll Coordinator, Accounts Receivable/Accounts Payable Representative, or Payroll Clerk.
  • Knowledge/Skills/Abilities (KSA): Must possess strong written and verbal communication skills in English to effectively present information and respond to questions from managers, clients, and customers. Must have strong mathematical and data entry skills. Familiarity with payroll systems. Must possess a solid understanding of payroll regulations, wage garnishments, and benefits distribution. Must possess the ability to manage multiple tasks and collaborate effectively within a team. Must have the capability to work independently and collaboratively while resolving payroll discrepancies efficiently.


PREFERRED QUALIFICATIONS

  • Education: Associate's or Bachelor's degree in Accounting, Finance, or a related field. Certified Payroll Professional (CPP) certification.
  • Experience: Seven (7) years of experience managing complex payroll tax regulations and processing multi-state payroll in a payroll, accounting, or related financial role, such as Payroll Coordinator, Accounts Receivable/Accounts Payable Representative, or Payroll Clerk.
  • Knowledge/Skills/Abilities (KSA): Comprehensive knowledge of payroll laws and regulations, including FLSA and multi-state tax requirements. Familiarity with payroll systems. General understanding of benefits administration and accounting principles related to payroll. Advanced proficiency in Microsoft Excel and strong analytical/problem-solving abilities. High attention to detail, accuracy, and ability to maintain confidentiality. Ability to interpret and apply complex payroll policies and manage high-volume payroll cycles with minimal errors.


WORKING CONDITIONS

  • The individual must be able to perform the essential functions of the job with or without reasonable workplace accommodation.

  • The individual may occasionally be required to stand, stoop, bend, crouch, kneel, climb, or sit for long periods.
  • The individual will be required to operate in a clerical office setting. The individual will routinely use standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
  • The individual may be required to perform repetitive movements with feet, shoulders, arms, wrists, hands, and back in the performance of work.
