Job Summary
We are seeking an experienced and detail-oriented Payroll Specialist/Office Assistant to join our team. The ideal candidate will be responsible for maintaining accurate financial records, processing payroll for our clients. This role requires proficiency in QuickBooks Desktop Payroll and ADP. QuickBooks Online, and a strong understanding of accounting principles. The Payroll Specialist/Office Assistant will play a vital role in ensuring precise financial reporting and compliance with regulatory standards.
Duties
- Process payroll accurately and efficiently using systems such as Workday, ADP, Paychex, or UltiPro, ensuring compliance with all relevant laws and internal policies
- Maintain detailed records of payroll transactions, including journal entries, account reconciliations, and general ledger postings using accounting software like QuickBooks or PeopleSoft
- Perform data entry for employee information, benefits administration, and timekeeping data within HRIS platforms
- Reconcile accounts payable and receivable related to payroll expenses and benefits payments
- Assist with benefits administration tasks such as enrollment updates and leave management
- Support office operations by managing correspondence, scheduling appointments, handling incoming calls, and maintaining office supplies
- Collaborate with the finance team on governmental accounting requirements, tax filings, and non-profit accounting procedures when applicable
Qualifications
- Proven experience in payroll management with familiarity in systems such as Workday, ADP, Paychex or Kronos
- Strong understanding of financial concepts including debits & credits, journal entries, double entry bookkeeping, and general ledger reconciliation
- Proficiency in accounting software such as QuickBooks or similar financial tools
- Knowledge of HRIS platforms for data entry and benefits administration
- Experience with accounts payable/receivable processes and account reconciliation techniques
- Excellent analysis skills to interpret payroll data and financial reports accurately
- Ability to perform detailed data entry tasks requiring 10 key typing skills and attention to precision
- Background in human resources or related fields is a plus; familiarity with governmental or non-profit accounting is advantageous
